Billed twice for the same visit. The second bill was sent after my first payment was already processed. I was sent a bill on 12/17/2014 for a previous visit. The statement had no due date, only stating "Due upon receipt." I sent in payment, which was posted to my checking account on 1/15/2015. Shortly after, I received past due notice for my account, threatening that failure of immediate payment would damage my credit. This threatening past due notice was sent on 1/16/2015, after my payment was accepted. It was also less than one month from my previous bill. Desired SettlementAfter notifying the office, they agreed that my balance was $0, therefore not requiring a monetary settlement, however, a written letter of appology would be appreciated. Most importantly, others should be aware of the business practices of this company.They sent me a bill after accepting my payment, and it was within a month of my original bill. I have never heard of a business sending past due notices for a bill that was not even a month old, especially after a payment was already accepted. This leads me to believe they are either sloppy and incompetent at running their business, or this is outright fraud in an attempt to scare customers into paying more than they actually owe. Either way, this behavior needs to be public knowledge. Business Response First statement states due date for payment is "Due upon receipt". The "Due upon receipt" is listed to let the patients know that the statement is due immediately and not days or weeks later.Patient's payment was deposited into our account on Friday, January 16th. We use a lockbox vendor and they deposit our payments and send us the patient detail the next business day which was Monday, January 19th.The payment information was received in our office on Monday, January 19th from our vendor and we posted this payment to the account the same day.The posting date that we use to enter our payments into our system is the date that the check was deposited into our account and not the date the payment was posted therefore January 16th was time-stamped on this patients account as the payment date.There was not a payment posted in the last 30 days from patient from his first statement which was sent December 17th; therefore our system generated a second statement exactly thirty days later on January 16th. If a payment has not been posted within thirty days from the first statement our second statement has the verbiage "Your account is PAST DUE. Perhaps you have overlooked this balance? Remember credit is one of your most valuable assets. To protect your credit, send payment in full, or, contact our office immediately to make satisfactory payment arrangements". Since the payment wasn't posted until Monday, January 19th, the second statement was sent on Friday, January 16th the day we received his payment at our lockbox location.The past due statement was sent when the account was 30 days old.The patient's payment posted to his checking account on 1/15/2016 but we did not receive the payment to our bank account until 1/16/2016. Therefore, we did not send a statement after we had accepted his payment as stated in this patient's complaint.The second bill was not sent after his first payment processed, the transactions happened on the same day.The payment and second statement happened on the same day. We will contact the patient and explain as well as provide him with a written letter of apology if he desires.
