follow up via email to help her close her account outShe was notified that this included paying weeks of tuition for August due to our weeks drop policyAs you can see in the Registration Agreement that she provided to you, it is stated that weeks written notice is requiredThis allows us to enter a future drop in our system and allows office staff to have a more accurate student count in our software systemIt is important to have this information when trying to add or transfer students and especially when there are students on the waitlist for a classBecause it is so critical we require it on registration and re-registration.Later that evening we received the following email from her:“ To Whom it May Concern,Today 8/1/I called Woodland Gymnastics to notify you I would no longer continue to send my children to gymnastics classesI was told I would need to send written notification and that I would need to pay for weeks after giving my notice because I signed a contract requiring me to do soI find this extremely inappropriate, as I don't remember signing a contract agreeing to having my children perform physical activities in a facility that could not provide an environment safe for my childrenYour facility has no air conditioning and it is unsafe for children to be exercising in extreme heat, as we have reached temps as high 106-degrees and my children have been miserable and not wanting to attend classI can't blame them as I myself have dreaded how hot and uncomfortable your facility is! I would be happy to provide you a letter from my Pediatrician stating the risks to their healthI also don't remember signing in my contract that I would be expected to use filthy, old equipment that is falling apart and never gets cleanedI'm sure you are aware of the germs that live on gym mats! Also most of the time we were there the trampoline was broken!I am not paying for weeks of gymnastics that I will not useIf you feel the need to come after me for weeks of unused services I will be happy to report my complaints to the Revdex.comI will also report you to *** *** *** for child endangerment and to ***, to investigate the working conditions of your employees*** ***” The Board of Directors was notified of the concerns stated in her drop email and responded to her with the following email: ”Mrs***, We would like to start by saying that we understand the concerns that you mentioned in your emailWe have been working very hard, since we moved to our new location, to rectify some of the issues you discussed, especially those related to heatWe would like to reassure you that we have practices and precautions in place to help during some of the hotter daysDepending on the class these may include: students taking more frequent and lengthy breaks in our air conditioned break room, allowing students as much water as they desire to stay hydrated, coaching staff being briefed on signs and symptoms of heat exhaustion and heat stroke, enforcing modified lesson plans for all classes that are less intense and include work that is easier on the studentsFor days where the temperature gets too high we close down the gym, emailing and calling all the families to let them know, and allow make ups to be done on less hot daysIt is also always an option for students, even on days the gym doesn't close, to not attend their regularly scheduled class and do a make up on a later dateWe also offer the option of a Leave of Absence that allows families to hold their spot in a class for a couple months and return when they feel the weather has cooled offAs you may have heard from our email announcements, we also were able to purchase two very large ceiling fans that will be installed in the very near futureThese additions will go along way in helping our students stay cool and healthy during practice on hot daysRegarding your concerns about the equipment, we understand that gym mats can get dirty and that little ones do tend to pass germs aroundTherefore, we check mats regularly for safety and clean them on a regular schedule to ensure that we avoid any of our students passing germs around or practicing on anything that would be unsafeIn regards to trampoline there seems to be a bit of misinformationTrampoline was thankfully not broken we simply had to move it out temporarily to allow for another apparatus to be moved to a better locationIf your pediatrician feels that your students can't continue and you can provide a note from that pediatrician we can absolutely waive the weeks notice as we do with any medical releaseHowever, without the medical release you will still be responsible for paying the weeks, as stated in the Registration Agreement you accepted when enrolling onlineThank you for taking the time to express your concerns to usWe appreciate any and all feedback and would like to assure all of our members that we are doing everything in our power to combat heat concers as well as any other safety concernsSincerely,Woodland Gymnastics Board of Directors”Mrs*** responded with this email, which is the last correspondence we have had:“Thank you *** for responding to my emailI will be bringing you a letter from my PediatricianI do have to express my disappointment that you have disregarded a parents concerns regarding the welfare of her children! My initial intent was to take a break until fallI never received a phone call cancelling class when temps were highThe last class that was out we opted to skip class because the week before that we attended class during degree weather the kids we so hot, pouring sweat and wanted to leave! I have followed through with my complaints to Revdex.com and ***Also have written ** and *** reviewsI will be referring friends to *** *** from my previous experience there and their far superior facility.”We feel that:A) We take every precaution during every lesson to ensure the safety of the children.B) The equipment is cleaned regularly and we have never been cited for health issuesC) We have offered to waive the two weeks with a doctor note stating that it is unhealthy for her children to participate in the heat.D) We have spent considerable funds to provide a cooler and more welcoming environment for the childrenWe have discussed this in several emails over the past few monthsIn fact we recently had large ceiling fans professionally installed.E) During extreme heat the classes have been canceled(For example: We sent an email/called all families on July 27th when temperatures where consistently degrees for 3+ hours allowing all families a maclass for the closure.)F) During high heat days the curriculum has been relaxed to allow for longer breaks and access to an air conditioned room to cool down during breaks when neededLesson plans on hot days are restructured to include more technique, form work and stretching and less high exertion exercises/high cardio workCoaches are trained on these and reminded regularly.G) We also schedule additional water breaks into the day’s lesson plans and strongly encourage children to drink more water.H) We have advised staff to be vigilant and aware of heat related issues with the childrenWe have posted signs that show the symptoms of heat exhaustion and heat stroke for all staff to reviewI) Parents have always been allowed to have makeup classes if they are unable to attend the regular classesThis can include days when the parents feel it is too hot for their students to participateJ) In anticipation of hot summer days, every summer we modify our schedule to offer morning and early afternoon classes at all levelsThis allows parents to bring their students consistently during cooler times of the dayAs an organization, we take every complaint and concern seriously and she never brought any of these concerns to our attentionSince the Board of Directors is comprised of Woodland Gymnastic parents, we value every concern or suggestion since they affect our children as well. Cleaning is completed as needed (i.espills) in addition to scheduled daily and weekly deep cleaningSafety is discussed in detail during the training for all new coaches and staff, weekly for all staff as part of weekly staff meetings and is a core component in our all staff trainings. We are happy to provide you with copies of the cleaning schedule, cleaning checklists and safety trainings, handouts and posted noticesAs Mrs*** stated in her last email to us, she intended to bring her children back in the fall and never brought up any concerns prior to being reminded of the two week requirement. She started sharing unsubstantiated statements about our gym on the internet and social media after the board denied a waive of fees dueWe are questioning if her concerns are genuine or simply a means to force us into waiving the week notice she had agreed toWe appreciate the opportunity to assure you and the public that we take pride in the safety and cleanliness of our gymAs a small non-profit there are limitations to what we can do with regards to equipment, as there would be at any gymHowever, we would never risk the safety and health of our gymnast by allowing them to use unsafe equipmentLikewise, we have done everything within our budget to cool the gym including installing ceiling fans, utilizing floor fans, opening all of our roll up doors to allow as much air movement as possible, thus keeping the gymnasts, coaches and spectators as cool as possibleThank you for your timePlease do not hesitate to contact us if you need any additional informationSincerely, *** ***DirectorWoodland Gymnastics

As you can see in the Registration Agreement that she provided to you, it is stated that 2 weeks written notice is required.
