Office Location:
Concerning
the location of our new office, the following
email was sent on January 31, 2014, to all owners, including the owner that
contacted your office, as to the new location of our office:
"Hey Everyone,
We will be moving our office
beginning Monday, February 3, 2014, to our new location at West
Magnolia Avenue, Unit (Magnolia Arms Apartments, Unit 1)
Our office will be closed during
this time; however if you have an emergency or need to reach us,
please call 334-524-We should have our office phones and internet
working no later than Wednesday
Thank you"
In addition to the email, the new location of our office was
posted on the entry of our previous office door for at least months following
our relocationThe previous location of our office is now under constructionIt has been demolished and is not accessible to the publicAlso, after relocating in February, the owner that contacted
your office made payment in April for their 2nd quarter COA dues
Payments and Policies for COA Dues:
Dues are
payable to the COA without notice and are due on the first day of every quarter
(January, April, July, and October)Dues are considered late if not received
by the 15th day of the quarterAs a policy set by the COA, the
initial late fee is $The owner that contacted your office has previously
contacted our office via telephone and email on multiple occasions because she
did not remember what payments were due and when they were dueEach time, our
office has told her the payment schedule, which has not changed since she purchased the unit in As a courtesy, our office sends out email
reminders about quarterly dues to all owners before their due dateAn email
reminder about 3rd quarter COA dues was sent to all unit owners on June 26,
Our office made a deposit on behalf of the COA on July 17,
After this deposit was made, we notified several owners via email,
including the owner that contacted your office, that their payment was past due
We had not heard from any person associated with that owner’s unit until July
18, 2014, which is when she contacted us after receiving the email concerning
her past due COA paymentWe did not receive any voicemails or emails from the
owner or her daughter prior to July 18th The owner later said she refused to pay the
late feeI tried to explain to her that our office had not been contacted
prior to that day and that the late fee is a policy set by the COA and payable
directly to the COAThe fee she has been assessed is not a fee payable to our
office, but as management we are obligated to the COA to collect the fee on
their behalf.
The policy of withholding parking passes or other services and
amenities provided to the units with outstanding assessments is a policy made
by the Association and helps insure that all outstanding balances are cleared each yearThis policy is included in the Bylaws of the BB Brownstone
COA in Article VII, Section which states the penalties for non-payment "including but not limited to loss of cable and internet services provided
to the Unit and suspension or revocation of parking or other
privileges afforded to members of the Association." This policy is being enforced
fairly to all of the owners of BB Brownstone
As management for the COA, we must enforce the late fee policy and the policy of the
Association to not distribute parking passes for any unit within the complex
until all outstanding assessments and fees are paid to the COAIf the owner that
filed the complaint has a problem with this or any other policies set by the
Association, I can have the President of the COA contact her to discuss these
matters
Since receiving this complaint, the owner that contacted
your office has paid the late fee of $to the COA
If you would, please let me know when this matter is resolvedAlso, please let me know if you need any additional information and I will be happy to send it to you

As I stated in my previous email, all owners (including the
owner that contacted your office) were notified by email on January 31,
that our office was moving beginning Monday, February 3, I have the email
saved in my sent folder if the owner would like to verifyAlso, as previously
stated, there was a notice posted at that location for at least months following
the moveIt is not reasonable to think the notice would still be posted almost
months after the move, especially when the previous office has been
demolished and is not accessible to the public
The owner left a message on our office voicemail before we
opened Monday morning requesting that my assistant return her callI was in
the office later that morning when the call was returned and my assistant left
a message on her voicemail letting her know she was returning the call
The owner’s husband sent an email on Tuesday, and I
responded to his email that dayI explained the policy in question, and I also
forwarded him a copy of the email notification from January regarding our move
I received a positive response from him after my reply
I contacted the President of the COA today and requested
that he call the owner that contacted your office
Please let me know if this resolves the matter or if you
need additional information

I have reviewed the response made by the business in reference to complaint ID [redacted], and have determined that this proposed action would not resolve my complaint.  For your reference, details of the offer I reviewed appear below.I have NOT received ANY return phone calls from this office since I left a message on Monday - I have kept all phone and email records as proof!  I, too, spoke (and forwarded him the calls made and received) to the president of the COA and notified him how business was being conducted by the office staff and how poorly the communication skills have been.  I also informed him about the manner this particular person conducts business by being belligerent and very unprofessional in addressing issues.
I also shared with him that this was not the first time that this particular person has been ill-mannered with unprofessional deportment.  I had a lengthy conversation with the president of the COA explaining to him exactly what has taken place.  He acknowledged my complaint and said that he would address this issue as soon as possible, especially the issue I have with the uncouth behavior towards me and my daughter. 
 
I  too, moving forward, will keep record of all communications sent or received from this office.  As a precautionary measure, I will be recording all conversations made between me and BB Brownstone.
It would also be advantageous to both sides if phone calls could be returned in a timely manner so that any outstanding issues could be dealt with.
Any communications from this office, from here on,  should be handled with proficiency and tact.
