completed our Service Manager left the company at the close of the year. Unfortunately, that gap between Service Managers may have caused a breakdown in communication. In February of this year our team sent a quote to repair the sign directly to you as well as a proposal to build a new one. Since site surveys are typically billed to clients, in March our accounts receivable department spoke with Francis and she advised us that you had not paid because you had not received the quote. We then provided Francis the original quote email. The collection attempts are a standard process for aging accounts in order to promote conversation in regards to paying an outstanding invoice. I'm sorry that this happened and appreciate you expressing your concerns on this as it gives me a chance to tighten our processes and training. Clearly, looking back, our collection efforts should have considered the possibility of miscommunications during the transition of service managers. The invoice will be credited and written documentation of the adjustment provided. In addition, I'd like to offer you 25% off any service for the balance of the year up to a total discount of $250 .
