*** *** presented to our office on 10/for an orthodontic exam. The exam at our office is completely complementary where we look at a patient to see if they are good candidates for orthodontic treatment. If someone is a good candidate for orthodontic treatment we
discuss what the next steps are if they decided to pursue treatment. If a patient is not ready for orthodontic treatment we will put them on a recall. There is not a charge for the exam appointment. If Mr*** decided not go ahead any further than our initial discussion we would not have charged him for any further services If patient's are ready for orthodontic treatment at the exam appointment, we described the next steps to get treatment started. Following the exam, we would need to obtain a set of orthodontic records (models, photos, treatment simulations, and 3D xray) in order to have a more detailed and comprehensive plan that we present to the patient at the consult appointment. We explain to the patient that the exam is no charge but if the patient goes ahead and takes the records and does the consult there is a charge for those records and our time if the patient doesn't ultimately have treatment. The outline for these appointments can be found on our website: *** If you click on the outline of the steps it states that there is fee for the records for those who don't go ahead with treatment The records appointment can be done the same day as the exam if the schedule for the office allows or at another time if the patient chooses. Mr *** decided to go ahead with the records appointment which we did the same day and set up a consultation on 10/26. He came to the consult appointment where we explained our plan of action. He needed to see the periodontist to obtain clearance for his gum/bone support of his teeth prior to undergoing orthodontic treatment. We also explain that the type of braces we use are custom manufactured and only work on the patient they were made for. We say to all the patients that once you make an appointment we start the process for getting the braces made so they are back in time for his appointment. If you decide after we make the braces, that you don't want to have orthodontic treatment we have to charge the cost of making them since they can't be used on anyone else. Mr *** made an appointment for 12/and we started making the braces for him. He did not tell me that he did not want to have treatment. We are unsure why he would make an appointment if he was on the fence of treatment. Once the appointment was made the custom braces were manufactured. Once he decided not to go ahead with treatment, we told him that we would charge him for the consult and the braces for to cover our costs. He was adamant that we were wrong and was treated unfairly. I told him that this is the process that we have been using for the past years. It was explained clearly at the exam, records, and consult appointments. After the initial complaint to our office we did not hear from him again till 12/3. On December 3rd, he called the office to make an appointment that he was going through with the treatment and he would see the periodontist. He made an appointment for 1/14/which would give him adequate time to see him. We had the braces already in office but if we didn't make him initially we would have then go ahead and make them so we had them back in time for his bonding 1/14/16. He then canceled then 2nd appointment with us to get his braces on. So he made two appointments to get his braces and canceled them both leaving us to eat the cost of his records and consult. We only asked him to pay the overhead of what we needed to come up with a plan, present that plan, and make his braces for him. He account is inaccurate as well: I never told him that he needed to accept the online contract. He made the appointment to get his braces on his own. Even by clicking on the online contract the braces only get made once the make the appointment. The clicking on the contract sends a signal to our front desk to contact the patient, not make the braces. The braces are made once the patient makes a actual appointment which he did. He never told me that he was going to make an appointment and not to make the braces. Our office would not have made him that appointment and would have told him to think about because that is not what the process is due to the custom manufacturing of the braces. I never spoke to him again following the second cancellation regarding the fees as he stated in the complaint. Mr*** had the following work in our office: 1) records taken which included a 3D-CBCT, photographs, intraoral scan to manufacture custom braces and visualize his final occlusion 2) minute consult with the Dcotor 3) Booked and canceled two hour and minute appointments for him to get his braces on Mr*** was treated fairly and to the best of our ability receiving a lot of orthodontic care in our office that he feels that he doesn't not have to pay for.
