In response to the patient's statement, the billing department does not have any control over the refund time frame as it is set by the accounting department.  We reviewed her credit and submitted the refund request immediately to accounting however we have no way to force a refund check as we...

do not handle the actual cash. Furthermore, we do not "require immediate payment to be seen" in our clinics.  We provide an estimate to the patient prior to treatment and ask that their portion be paid at the time of service.  If the patient refuses as they want to wait until insurance has processed their claim, we will typically have the patient sign a deferment to ensure that they do pay the balance once the claims are adjudicated.  This is also not set by our billing department but rather is a clinical process that we have no control over.
