September 10, 2017Dear [redacted] ***:This letter is a response to the BBB letter the office received on September 5th, 2017. The complaint is regarding a bill that consumer received from our office on 8/7/17 for $80.72 for a date of service on 7/16/2013. Consumer did call office originally and was... informed an internal audit at the office occurred and bills were sent to consumers on monies owed for previous services rendered and not paid. Consumer was encouraged to pay the bill.This worker returned a phone call to consumer after receiving a message on 8/30/17 in which consumer had difficulties with discussing matter on the phone call and asked this caller to speak to her husband. Consumer’s husband indicated a complaint was made with the BBB. Consumer's husband reports the debt was very old and office should eat the costs. This worker informed consumer that office can collect up to seven years per credit standards however this worker informed consumer that an investigation would occur on this debt to ensure this was bill was correct by checking the office explanation of benefit (EOB) forms. Consumer was concerned that they had no proof if this bill was owed as insurance company no longer exists.Upon investigation, this worker reviewed explanation of benefits (EOB's) the consumers insurance mailed to the office. Services were rendered to the consumer on 7/16/13. Consumer paid $15 copay for the 7/16713 visit. Insurance EOB reflects a deductible amount owed by consumer for $77.14 to the office. In addition, as this worker reviewed EOB services rendered on 7/31/13 consumer paid $15 copay and EOB reflects deductible amount of $45.72 owed by consumer to the office. Upon this review it appears the consumer does not owe the office $80.72 but actually more which is $122.86.Office consent for treatment practice is for consumers to sign consents for treatment at their initial appointments. The consent for treatment reflects consumers to find out if they have a deductible or co-pay. In addition, the consumer is expected to pay for services (full fee or copay) at the time they are rendered services unless other arrangements have been made. This consumer has signed a treatment consent form on 7/16/13 in which these statements are in the consent form. This consumer did pay their copay at the time the service was delivered however failed to follow up with finding out if they had a deductible to pay. The office EOB's reflect the consumer has the responsibility to pay for $122.86 per their insurance deductible that is being directed by their insurance company.Furthermore, the office discovered that Pennsylvania statute of limitations to collect a debt is six years. This office feels they were in the right to send an invoice as the debt is still within the limits of the statue of Pennsylvania.At this time, the office is willing to work with consumer regarding this matter. If financial hardship is occurring, special payment arrangements can be made as necessary. Currently this consumer's account has been pulled from the list to send to collections at this time.Please take this letter into consideration upon reviewing the facts of this matter.Sincerely,Gloria VLCSWCEO & Licensed Clinical Social Worker

9/20/17 Re: [redacted]:             As the consumer points out, the office has gone through a major change and re-organization of billing services since the discovery of the improper documentation in the billing department at the office in the past. Upon investigation of this matter, it is apparent that there are still areas that need to be worked on as the amount is more after reviewing and cross referencing EOBS and what is in the system.  When reviewing EOBS, other consumer’s names are on them and due to HIPPA standards I cannot release them. Since further investigation has occurred to review this consumer’s account, this has prompted further reviews in the office and to further improve the billing department procedures. At this time, the office will waive this debt collection as it is owed but it will be forgiven at this time. As stated in previous letter, the account was not sent to collections and will not be sent to collections. Sincerely, Gloria V[redacted]
