Gentlemen:
This letter is in response to the above complaint, ID#[redacted]. Please be advised that...

we did file the patients insurance on two occasions 4/30/13 and 11/13/13. We keep notes on all incoming calls to our office. We show no contact with the person filing the complaint. We contacted the physician's office manager and they do not recall any discussion with this party either. We made several attempts to resolve this account including mailing collection letters and attempting to call the person filing this complaint and were advised that the telephone number we had was no longer in service on 1/22114. This account was sent to the office manager of the physician's office for collection approval. Bailey Professional Services does not determine who is turned to collections. The account was approved for collections and sent to the collection agency on 3/7/14. The collection agency sent a letter to the patient on 3/10/14.
We show no calls from the person filing the complaint, I have quizzed all my staff and the answer Is the some. We would never tell anyone that the filing of their insurance is not our problem and would not refuse to file or call on said Insurance. Bailey Professional Services does not make any income by not calling or filing claims, we are only paid on what we collect. It would not be to our advantage to ignore a patient request.
The only contact we have had with the Insurance company in question was on 4/2/14 when the Insurance company called our office and requested that we pull this account from the collection agency as they were reprocessing with the correct Insured ID number. Bailey Professional Services is dependent on the physician's office and/or the patient to supply us with the correct insurance information. They had no questions for us regarding any Information that they needed, they only wanted to advise us that they were reprocessing the claim. We gladly compiled by canceling the account the some day, 4/2/14.
The person filing this complaint called our office on 6/18/14 and Inquired about this account. We advised that the insurance had called on 4/2/14 and stated they were reprocessing her claim but we had not heard from them. We then called the insurance company ourselves and were informed that they had processed the claim and paid the person filing this complaint directly $92.80 and left a co-pay of $23.20. We then called the person filing this complaint and Informed her of this Information. She stated that no check had been received and that she would call the insurance. We did not hear anything further until the person filing this complaint returned to the physician office for further care and paid the balance owing on this account in full on 6/24/14.
Bailey Professional services has been in business doing physician billing for thirty (30) years and pride ourselves on providing excellent customer service to our clients and our client's customers. There may have been a break down in communication from the physician's office staff to us and if so we do sincerely apologize. The physician's office manager cannot recall any conversation regarding the issue involved here. Please feel free to contact us with any questions or comments you may have.
