We received notification of a complaint made against our office from our prior office manager, *** ***Her claim is that she is owed money for paid time off and the Thanksgiving holidayHer complaint is
completely without justification, and any claims she is making about further payments that should be made to her are completely unfoundedIn fact, quite the opposite is the case.*** *** was our office manager and one of her numerous duties was to ensure accuracy of employee time cards, and calling in the hours worked by all employees, including her own, to our payroll company, ***She was a salaried employeeOne of the main requirements of her job was to “open" and “close the office (7:30am to 4:pm are the required times in the office)She was frequently absent from the office, sometimes with excuses, sometimes withoutShe had countless days that were missedWhen she walked out on her job on the morning of November 26, she stated in her resignation email that she was owed hours of PTOThis was immediately dumbfounding to me that she could possibly have any hours of PTO left, but I dutifully looked into the records that she herself keptAs I had correctly recalled (and have emails and texts to support her the reasons for her absences), she was out/late/left early countless daysBy looking at the time cards I then realized that she simply did not draw from her PTOThe times that she was out, including a one week vacation in Florida, she simply had “other” or “none" listed for that day, rather than “PTO”Please see the enclosed timecard reports that verify thisJust on these few time cards, the amount of time she was out added up to far more PTO that she is entitled toThe highlighted days are the days in which she was absent and for which she was paid as though she was working a day, but did not draw from her PTOAlso, *** *** personally phoned in all hours worked to our payroll company, ***Please see attached *** report that verifies *** *** used hours of pto in April which is noted on her May 1st payroll checkOther than in April, *** *** used no pto hoursInstead, she paid herself her full salary during her time out of the office, which includes, vacations,funerals, illness, etcFurthermore, we are now looking into her fraudulent listing of her hours workedAs office manager, she had access to the software to manually alter the times that she clocked in and out each dayWhen manually altered, a "+" sign appears next to the time in or outAs witnessed by everyone who works at this office, those times listed with "+" are not accurate representations of her arrival time, as she was frequently late, sometimes by hoursPlease see the enclosed time cards as examples of this editing she fraudulently performed.The staggering number of hours that *** *** took off, but did not claim as PTO amounts to theftWe are currently planning to re-coop this money from *** *** as soon as we tally the number of hours she fraudulently paid herself forWith only my initial cursory investigation, I found over hours of time out of the office that was not taken as PTOThese hours can be seen on the time cards included with this letter.Lastly, she claims to be owed holiday pay for November 26, 27, and She resigned verbally first thing after walking into the office on November She spent a short time in the office that day after quitting to collect her personal belongingsShe did not even work that dayShe is not owed any holiday pay, as she was not an employee for the holidaysNow that Ilona is no longer with us, we are finding multiple areas where her work was insufficient and neglectfulThankfully, this claim of being owed money for PTO and the Thanksgiving holiday is easily shown not to be true, based on her timecards, her fraudulent called in hours, and time of resignationIf you require anything further, please let us knowWe are more than happy to meet to go over the time cards, her pay, or anything else you need to prove that her claim is falseYou may also contact our payroll specialists, *** ***, at ***, for futher details or documentationHer phone number is ###-###-#### X***
