2018 we called the homeowner prior to our arrival to inspect the newly installed windows. Mrs. [redacted] was not at home nor was she at the meeting when I met with only Mr. [redacted].  As a result, we believe Mrs. [redacted]’s comments and complaint should be considered as second hand information. Mr. [redacted] came out and I explained to him that according to the [redacted] Rules and Regulations vinyl trimmed windows are not permitted. (Please see the attached [redacted] Rule). His response that I came on to his property to give him a hard time about the windows that was approved by Cranberry Community Management. I calmly tried explaining to him the [redacted] Board of Directors approve the windows. The approval letter clearly states “Vinyl Trim” is NOT permitted.  As an example, I pointed out the wooden trim around their neighbors windows and explained, "This is how the final trim job should look like." I immediately called our office to confirm the approval letter did state, Vinyl Trim is NOT permitted – it did. Trying to offer a solution, I tried explaining to him, if the wooden trim was reapplied around the outside of windows it would cover the vinyl trim.  Mr. [redacted] made a phone call and reported to someone that I was giving them a hard time about the windows. I told Mr. [redacted], if he disagreed with my findings, he could contact the [redacted] Board of Directors to discuss and obtain their final approval.  The entire meeting lasted approximately 5 – 6 minutes, never did I lose my composure, raise my voice or was rude. I advised Mr. [redacted] it was a board decision not CCM regarding the final approval regarding the trim around the windows then I left the property. I find that complaint against myself and Cranberry Community Management is meritless as Mrs. [redacted] was not in attendance; as a result her comments and allegations should not be allowed. The complaint states, “The window were installed according to what CCM approved” …….Cranberry Community Management is contracted by the Board of Directors and take our instructions and from the Board. We do not issue approval for alteration requests – as this a Board of Directors function and decision not CCM’s. In addition, we do not have the authority to overrule or override the Board’s decision.Upon my return to the office, we immediately contacted the [redacted] HOA President and reported our findings.  It is my understanding that the Board President was and did contact the homeowners to arrange a meeting to discuss and resolve the issue.If the [redacted]’s did not agree with my findings or recommendation, the correct process was for the [redacted]s to request a meeting with the [redacted] Board of Directors to discuss their issue and seek final approval.Mr. & Mrs. [redacted] should have contacted the [redacted] Board of Directors to discuss their concerns and not intimidate and or demand that CCM to act upon results in which we have no authority.  Best Regards,Angela L.
