The client hired us to pick up 1 bag of mail to be delivered to the Wauwatosa Post office. In our quote it specifies several disclaimers, one of being declared value of shipment is $250.00. We did make a mistake in our sorting and delivered the mail bag to a different post office location. My...

Operations Manager and myself both admitted and apologized for that. We offered a credit of approximately 3 times their daily rate. The issue is that the items were still processed in the postal system and delivered. All post offices follow the same procedure. One location doesn’t do it differently than another. The tracking system is the same everywhere. The client was trying to get us to pay over $6,000 for the incident. This was a retail price of the items he claims where in the mail bag. Not a replacement price. Even insurance companies wouldn’t pay retail for lost or damages. However more importantly he wanted us to pay for something that still got delivered to his client. Number 1- Client never communicated to us that the declared value of the bag was $6,000. In all shipping companies that is required if you wish to be covered for that amount. Therefore fees and special procedures apply, for which I am sure this client didn’t want to pay. Number 2- We are hired to carry a mail bag. Therefore, the contents of the bag are not tracked by us. We have no way of knowing what, or how many items are inside the bag. We aren’t allowed to open a package that is being shipped. Number 3- Transportation companies, like ours, cover customer property for losses and damage. Late or misrouted deliveries are not part of this coverage. The client has not produced to us a loss occurred. We asked for tracking numbers to verify with the PO if delivery was made. Client had provided it at one time but the file received wasn’t formatted properly. We asked for it again, and we were told to just pay the bill and move on. All these points had been communicated in emails and phone calls with our operations manager and myself. The client kept demanding 6 grand. That then led to my phone call with him. I disagree on his view of my handling of the call. The client was upset and I understand that. He started the conversation by demanding the money, criticizing our business, and asking multiple questions. I listened. I waited for my opportunity to speak. I began by apologizing and explaining I understood the situation but then went into what I have explained above and to answer his questions. He interrupted me. I let it go and listened. I tried again to speak at an opening, he gave be about a sentence and half and interrupted again. The third time I tried I asked him if was going to let me speak, if he was done and ready to listen. Maybe that is considered rude but so is repeatedly interrupting another person. I got to explain further but never got to finish because he hung up on me. So in summary it is my opinion that nothing was lost. That has never been established. Therefore the items made it to their destinations. The client didn’t listen to our explanations, he didn’t care what we had to say.  The client is just trying to get money out of us. Therefore the claim was denied. I understand he was inconvenienced. [To assist us in bringing this matter to a close, we would like to know your view on the matter.]We expect to receive the $250 which was offered in order to close this issue, and we feel we are being extremely reasonable in this request since it is significantly less than the amount of damages and is exactly what was suggested by the General Manager. The fact that he now is refusing to even provide that amount after offering it himself is further indication of his unscrupulous business manner, lack of professionalism, and untrustworthy nature.
