January 12, 2018Revdex.comAttention: [redacted] Holiday Drive, Suite 220Pittsburgh, PA 15220RE: Complaint number [redacted] , submitted 1/4/Dear Ms [redacted] ,This letter is in response to a complaint filed by a former Career Training Academy (CTA) student involving a billing and collection issue.To clarify, the student enrolled at Career Training Academy on May 19, for classes beginning on June 30, in the EFDA Dental Assistant Diploma programHer last date of attendance was July 28, 2014, she was off campus for over ten days; therefore, Career Training Academy was required to administratively withdraw her from the school for non-attendanceShe was administratively withdrawn from school on August 21, 2014.In the process of reconciling outstanding student accounts receivable, the student's ledger card showed an outstanding balance of $5,The outstanding balance was the result of the student's incomplete financial packageRequests for information by Career Training Academy's Financial Aid Department required to complete the student's financial package went unanswered by the studentAs such, the student's cost for attendance in the program was not covered by financial aid but rather was the responsibility of the student to payIn processing the student's withdrawal from the school, we are required by law to pro-rate the tuition and fees based on the number of weeks the student attended the programOn September 11, 2014, the student's account was adjusted to show a proration of tuition and fees in the amount of $6,for courses not attempted.Career Training Academy sent the student an invoice to the email, on file with the school, for the outstanding balance on the 10th of each month beginning December The student account was referred to collections after one year of non-response to outstanding invoices.If you should have questions, please do not hesitate to contact us.Sincerely, Kimberly R***, Ed.D.President & CEO

Enrollment Agreement, she signed acknowledging that shereceived a catalog which describes all programs, policies and procedures at Career TrainingAcademy.Attached is the Medical Assistant diploma program from the catalog (which [redacted] received)that shows that the Clinic class in every mod is one-half of the hours in the mod, not 85%that [redacted] states she was told.Students in the medical programs must attend 85% of the clock hours of the program (seeAttendance Policy from the catalog)For each module of hours attended, students arepermitted to miss hoursAnything missed above hours requires the student to makeup the excess hours [redacted] missed more than hours every module except oneAs partof its academic operations, Career Training Academy contacts students on missed days toidentify when they plan to come back to schoolIn support of this operational practice,many phone calls were made to [redacted] regarding her missed attendance at CTAPrimarilydue to her attendance problems, she failed the classes that began on March 2, which shestarted to repeat in July During this time, [redacted] contracted mononucleosis and hadto take a medical leave of absence for months per her doctor's orders.When her medical leave ended, [redacted] was required to make up all the time missed andcomplete her schoolwork before she was eligible to go on externshipShe is completing thatwork now and her make up time should be completed by October 22, 2015.CTA's Medical Assistant Externship Coordinator at the West View campus obtained anexternship site for [redacted] to attend when her mawork was to be done, but she turnedthat site downShe said she gave the Externship Coordinator many places to contact forherCareer Training Academy has formal contractual relationships with our externship sites.Students cannot be sent to medical sites unless there is a signed externship contract withthat site [redacted] expressed a desire to go to the [redacted] In support ofthis request, our Director of Placement, who procures CTA's externship site agreements,contacted the Salvation Army ClinicThe Salvation Army had not responded to CTA as ofTuesday, October 20, In the interim, CTA's Externship Coordinator is awaiting atelephone call from another contracted externship site that may agree to take ***.In a review of ***'s education record, no reports to school administrators of bullying, actsof discrimination and/or instructors speaking ill of her, can be foundAdditionally, CTAinstructors do not have access to students' education filesThe only comment found to bereported by [redacted] was that other students yell at instructors and nothing is done to them.When I questioned [redacted] about the specifics of what students and what teachers weresaying, she would not tell me[redacted] and her mother came into our campus on 10/15/and proceeded to go to theFinancial Aid Office, screaming that they didn't owe any money and they had paperwork toprove itIn the Financial Aid Office, ***'s mother stated that she had a paper showingthat ***'s account was paid in full and she didn't owe the money on the paper she had.When asked to see the paper or to make a copy of the amount in question, (thinking it wasthe repeat charge for the module she failed), ***'s mother refused, all the time sayingF you many timesShe disrupted classes and her foul language also carried into theAdmission's office where a prospective student was enrollingNot being able to get a wordin edgewise, ***'s mother proceeded to slam the financial aid door, repeating the F....word as she walked out the front doorShe was told that if she couldn't be civil, she couldn'tcome back into the building.On October 15, [redacted] was given the name and phone number of CTA's Controllershould she want to further discuss her financial issueThe Controller is located at CTA'smain campus [redacted] did not call the CTA Controller but rather the school President, atwhich time she left a voicemailThe President and the Controller returned ***'svoicemail promptly [redacted] expressed her frustration resulting from the billing errors on herstudent accountThe President and Controller reviewed the account and found the errorthat resulted in an outstanding balance on ***'s account in the amount of $1,347.18.The President and Controlled apologized to [redacted] for the error and agreed to issue her a fullcredit on her accountUpon her acceptance of this resolution, CTA considered the issueresolved [redacted] is now requesting a full tuition refund in the amount of $15,148.18, whichCareer Training Academy has declined.As agreed during her discussion with the President and Controller, [redacted] attended the WestView campus on 10/and 10/to continue making up her missed coursework and tomeet with the Externship Coordinator to secure her CTA approved externship site.CTA West View has diligently worked with [redacted] to help her to catch up on her workShehas received instruction by credentialed faculty members on the days she attended hermacoursework sessions; and was offered the same help as all CTA's studentsShe iscurrently on track to begin her Evening program on December 27, Atthe time of enrollment, Ms*** completed her admissions interview, where shewas informed and acknowledged, in writing, that successful completion of anexternship is a requirement of graduationIncluded in the acknowledgement form Ms.*** reviewed and signed, Career Training Academy specifically outlines that:"Externship hours will be scheduled during the day and are typically full time betweenthe hours of 8:a.mand 5:p.m., Monday through FridayThis will require nightstudents to complete externship hours during the dayNight externship hours arerarely available, therefore, students must not count on the possibility of working nightexternship hours."As a point of reference I have provided Ms*** *** Acknowledgement forCareer Training Academy's Student Notice for Medical Students re: externship and herapplication for admission, both dated on her enrollment date of 12-27-2013.In response to Ms*** comments on the frequency with which we she had differentclinical instructors, Career Training Academy schedules faculty on the basis of theirqualifications and credentials for teaching a specific classFor example, a particularinstructor will be selected because they possess certain credentials required to teach certain courseIt is not unusual to for instructors to be rotated through the scheduledue to the requirements of the program and the particular programs being taught.Ms*** further states the instructors permitted the students to develop and gradeassessmentsThere are appropriate learning conditions for peer-to-peer review ofstudents' workIn order to fully respond to Ms*** ascertain more detail isneeded concerning the specific class and assignments.Please do not hesitate to contact me should you require additional information.Nicole L**Campus Director

In processing the student's withdrawal from the school, we are required by law to pro-rate the tuition and fees based on the number of weeks the student attended the program.
