Review: Dermatology Specialists completed medical procedures covered by insurance the winter fall of 2012. The insurance company was never billed but the patient was billed. The office billing clerk was notified that the matter was a coding issue and to not worry about the bill and disregard the correct bill, the issued had been resolved. No notice of a delinquent account was sent to patient. Jan 2014 this account was sent to collection without notice and was not discovered until Mar 2014. Repeated attempts have been made for a copy of the final bill and no one from this office will return a phone call to resolve this issue.Desired Settlement: Dermatology Specialist needs to submit bill to Aetna and rescind the collection agency process. A written letter must be sent to patient explaining that this was not a transaction that should be in collections.

I first want to apologize for the delay in my response to your inquiry.

Since your letter was received the issue was handled with Mr. [redacted].

For your records please see the history of events:

Patient was seen in December of 2012. Charges were billed and processed by Aetna. We posted the insurance payment and the contracted adjustment in the beginning of January 2013. This left a patient balance. Patient was sent 2 statements and 2 past due letters for the balance in February, March, April, and May of 2013. We never received return mail, so it was our understanding that patient's parents were aware of the balance. In July of 2013 we received a letter from patient's mother stating that patient has dual coverage with secondary insurance. Our records only show primary insurance listed on patient demographics form. We verified with secondary insurance that coverage termed in June 2012, so we did not bill the balance to secondary insurance. We called the mother in July, September, and October of 2013. We never received a call back. At that point we processed account for outside collections.

We show no record of talking to patient or parents of patient regarding the outstanding balance or a coding issue. After review of the charges there was no coding issue nor any corrected claim re billed to the insurance.

Mr. [redacted] contacted our Administrator and after several conversations with the Administrator's assistant the balance was paid by father. This information was then relayed to collection agency.
