Dear Revdex.com,
We have looked into the matter and we greatly apologized to Mrs.*** for the errors and the inconvenient this might have caused her.
We have never had this problem before. There were two errors found in the process with Ms*** ***' account:
(1) After sending the 2nd statement, Mrs.*** has sent in a check which unfortunately got dislocated between our bank lock box and our billing company to post. The billing company post the check until they have located much later.
(2) Meanwhile our staff who has communicated to Mrs.*** when she called, should have put the statement on hold to avoid sending more statements to Mrs.*** while researching for the check she has sent in
The staff who has spoken to Mrs.*** has been notified that she should have hold further statements to be sent out in future for any patient account in a situation such as this case
Our protocol for patient balance has been always as follows:
One statement will be sent out each month in the following three months until there is payment and posted on the account, otherwise our billing system will automatically changed the status to 'Collect' if there is no payment posted in the account. And the account will be turned over to the third party collection agency.
We apologized for any inconvenient this might have brought to Mrs***, and we do appreciate her call and hope that she will continue to stay connect with us at all time if she has question regarding her account. We have also left her message today to call back and an email was sent to her to convey our apology
