February 2,2018Dear Ms*** ***:My office did receive your letter regarding a complaint about our businessThe ID number identified in the letter was ***The person in question reports that they were billed a finance charge for which they were not responsibleUnfortunately, this was
a situation where a patient refused to pay her bill for several months and accrued interest on the billI am including multiple demonstrations of the falseness of this claimThere will also be supporting documentationThis is a rather simple issue that I feel will clearly be demonstrated as being on the part of the person filing the complaint.The patient was seen in my office on June 21,2017, Her bill was sent to the insurance and the insurance did not pay as the patient had a deductibleThis is identified on the enclosed supporting documentsShe then was billed multiple times including August, September and October We have a private billing company outside of my office that handles are billing and collectionsThey maintain a very detailed record of the finance charges and overdue accounts.It was during this delay in the patient paying that she accrued the interest chargesShe finally made a payment on November 9,2017, She did not pay any of the finance charges that she had already accrued on her overdue balanceTherefore, her outstanding balance was not paid in fall.We have also enclosed a signed copy of the patient having received our financial policy and addendumThis has been maintained on her chart since she signed that and was given the policyIn order for you to make a further determination I did include our financial policy which clearly states "balances are due within daysIf the balance remains unpaid after days, a late charge of 8% per month is applied to the account,” Furthermore on the financial policy addendum it states that "the outstanding balance not covered by insurance will be due in full within days of receiving your first invoice.” The patient agreed to these terms but did not fulfill her financial obligation for services rendered.Our billing company sent out multiple invoices to the patient between June and November before the bill was paidWe are obviously also not very strict in enforcing the financial policy addendum of the bill being due in full within days of receiving the first invoiceWe allow a further grace period as a courtesy to our patientsWe do, however, ask them to pay the finance charges as the billing company has to update their account monthly and generate new bills which have been unpaidTherefore, it clearly demonstrates that the patient was billed multiple times and disregarded the finance chargesThis is unfair to my office and to the private billing company as we took a lot of time to send out those bills in an attempt to collect the money that we are owed.The patient then presented on December 1,for her appointmentWhen my office staff asked her about the remaining balance she became very upset with my office staff and stated that she would be finding a new doctorContrary to her complaint we did not refuse to provide serviceWe also provided her with refills of her medication that day so that she would not run out of medicine before finding a new physicianShe once again became very upset with my office staff and left the officeWe therefore mailed her refills of her medication and copy of her most recent bloodworkWe tried everything we could to make her transition to a new physician a smooth one.Therefore, in summary, I feel confident that we have demonstrated that this patient had an outstanding bill starting in June and the bill went unpaid accruing interest until November of As with any bill that we all receive on a regular basis^ailure to pay the bill in its entirety results in interest chargesFurthermore, I do not have a billing person in my office and have a private billing company that I use for those servicesIt is unfair to them to waive any finance charges as they work very hard to obtain the money that they fully deserveI have enclosed a copy of the patient’s signed financial policy and addendum with her signature and the date with which she signed itI also have included our financial policy and addendumI would expect the decision in this matter to be very simple as the evidence is irrefutable that the patient was in violation of not paying her bill on time and refusing to pay the customary interest charges that she agreed to.Thank you in advance for your time and attention in this matterIf you need any further information from me or my office, please feel free to contact usI am looking forward to closure on this item in the near futurePlease notify us once you have reviewed all of the materials to your satisfaction.My best regards, David *M*** D.O, DBM/mlsEnclosure(s)

 Again, I never agreed to this NEW finance policy.  The office had me sign my file that the insurance was correct as well as my address.  Is there a signed copy of their finance policy?  NO!  I never received one.   They are charging finance charges on top of finance charges.  I waited to pay this bill since they bill a different amount and then the insurance company sends my a letter telling me what the negotiated fee is and what my payment for service is.  This is fraud!
