September 14, 2015Customer D.Smade an on-line reservation 8/9/at 14:using the KOA on-line reservation formHer Reservation was to start 9/15/She called to cancel on Sept 8thOn the website she was looking at, it described the Special Event dates and cancellation requirements for
her dates in several sections; on the "Rates Deposits & Cancellation" tab-under Holiday/Special Event Times, the tab button marked "Cancellation policy" at the top right of the first page of the on-line reservation form and then again a time on the 3rd page of the reservation form after she put in her self data -name, address, credit info., there was a large box labeled "Policies, Terms & Conditions" withal cancellation data for all time periods during the campground season, including Holiday & Special Event timesAt this point she had to click a box that stated: AGREE WITH THE POLICIES, TERMS & CONDITIONS, in order for the reservation to go on and processKOA general Cancellation Policy states:Holidays and special events may have special deposit andlor cancellation requirementsSpecial conditions may apply during high-demand periods and special eventsPlease check with your selected KOA for details.campground Cancellation Policy;ELIZABETHTOWN/HERSHEY/KOA-CLX GUIDLINES:***HOLIDAYS/SPEC EVENT TIMES: Memwknd-5/22-25, June 29-7/8, Labor Day W/KND- SEP 04-6, Sept 15-(RV show), 10/18-(Columbus wkend AAC show)- * All sites 3nt minimum/Payment NFULLCancel notice by 4pm Days prior to arrival date for Refund minusCampsites-S25, Log Cabins-$40, Deluxe Cabins- $All LATE notice CXLS will result in LOSS of ***ENTIRE DEPOSIT.All this information also was printed on her automatic emailed confirmation which she did state she hadWe are sorry we do not have control of what order a the information is listed in some of the sections, but it is all thereKOA has a $cancel fee for other time periods and so do we-generally Spring & Fall (non Holidays Special Event periods).Her reservation was during the largest National RV show in the US, here in Hershey, PAHer cancellation was less than the days required for a refundOur business is based 99% on Advanced reservations for Special Event times Holidays, just like she didWe are not just of the Highway, and we do not get much chance of sudden "drive in" trafficOur cancellation time requirements allow enough time for another camper to possibly find us and book ahead their reservation alsoOtherwise sites sit empty for no good reasonPeople generally do not just decide to go somewhere, jump in their large RV and head off in very short notice.This customer stated to us, that she should not be expected to read "all that stuff"As her statement stated in the complaint letter sent "My complaint is that they're policy was hidden in plain site,Really She was right, but you must read the whole thing not just some parts and skip other information.People need to slow down and read the information they are acknowledging or receivingShe made the reservation and acknowledged the "Policies, Terms & Conditions" on-line, and had a copy of her confirmation, but did not want to take the time to read the information? if she had read her confirmation, with cancel information thoroughly and called to cancel within hrs we would have done so with no chargeA month later,- late notice there is a chargeDo not blame us.Linda S
