October 06, 2014Dear [redacted]:I am in receipt of your letter of October 02, 2014, regarding the above referenced complaint. Thank you for the opportunity to respond. The patient in question was seen by me between December 09, 2009, and January 06, 2012.
Her initial visit was on...

December 09, 2009. The charges for that visit were submitted to her insurance company, but no response was received. They were billed to her insurance company at least four times over the subsequent year and half. Her insurance company never responded. In August 2011, those charges were turned over to the patient. The patient was seen for followup visits in January 2010, June 2010, August 2010, and December 2010. In each case, the charges for those visits were billed to the same insurance company. A response was received from the insurance company and the patient paid the balance remaining after insurance adjustment on each of those visits.
The patient did not show up for two scheduled appointments in June and July 2011. She then returned later in July 2011 and January 2012. Both of those visits were submitted again to her insurance company. After insurance adjustments, she was left with a balance due. This was her patient responsibility remaining following the contracted adjustment from her insurance company. The patient did not make any payment to me on her contracted balance the July 2011. She then failed to appear for a scheduled appointment in July 2012 and has not been seen again. This left the patient with a balance from her initial consultation, which the insurance company never responded to, as well as her contracted patient responsibility from the visit in July 2011. She received at least five bills from our office between August 2011 and December 2011 for these outstanding charges. She never responded to the bills nor did she make any payment. Finally in January 2012, the account was turned over to an outside collection agency. At that time an additional charge equivalent to the collection fees that the collection agency charges us was added to her total. No additional fees above that were added nor was she charged any interest for her outstanding balances dating back to 2009.
Until your current notice, we have not received any communication from the patient whatsoever. She has not requested any accommodation on our part to reduce her balance nor has she made any offer of payment. Had she contacted us directly, we would likely have been willing to adjust her total charges to avoid involving the collection agency in her case. We have done this with many other patients in the past.
The patient received, as do all our patients, a copy of our financial policy. It does lay out the process for involving an outside collection agency and it also outlines charges for items such as missed appointments.
It is unfortunate that the patient chose to contact you, over two years after the account was initially turned over to a collection agency, rather than contacting us directly to try to work out some accommodation. We would have been happy to try to reach some accommodation with her. Needless to say at this late date, after so much time has passed and in the light of her decision to go to you rather than us, I am less inclined to make any significant accommodation to her. Please keep in mind that if she makes any payment at this point, I am still obligated to pay the collection agency their fees.
I hope this response is helpful. Should you require further information or clarification, please feel free to contact me. I have outlined the information to the best of my knowledge and ability, but I would be happy to be made aware of any explanation on the patient’s part.Sincerely,
Mark T

Review: Balance for my bill had been submitted 4 times to my health insurance and they were unable to do so again. The amount ended up going into collections. The office at Endocrine Associates added on additional charges before sending it into collections at [redacted]. It was informed to me by the collections agency, [redacted]., that Endocrine Associates had added these additional charges before they had received it so the amount I received from the office and the invoice I am expected to pay to the collections agency show a difference of about $250.00Desired Settlement: Explanation as to why this was done, whether or not this is a legal practice and discuss the billing adjustments that will need to be made with Endocrine Associates and the collections agency that it had been sent to. I appreciate any and all help you can offer and thank you for looking into this matter.
