The standard operating procedures for our office include quoting an estimated fee for both treatment and any examination and testing necessary for patients who ask during their initial phone call when scheduling appointmentsOnly estimated fees quotes are possible for examination and testing as the number of radiographs and type of tests may vary by patient
I also make it a practice to review the fees and restate that an exam fee is separate from the cost of treatment at the time of the patient’s first appointment, prior to providing any treatment
We realize the patients are frequently in a very stressful situation, and consequently, do not always have a complete recollection of our conversationsAlso, while it is our standard practice to quote all fees, it is within the realm of possibility both my staff member and I neglected to explain the additional exam fees
Regarding Mr***’s statement that some of the fees were not “recognized” by his insurance company, many procedure codes are not contractually covered by certain companiesThis does not change the fact that the codes are legitimate and standard practice within the dental fieldAll codes used in our practice are from the ADA’s CDT: Code on Dental Procedures and Nomenclature and we are entitled to charge a fee for these examination and testing procedures
It is unfortunate that Mr*** feels he was treated unfairlyWe attempt to treat all patients in a fair and ethical mannerDespite the fact we feel that these fees are completely justified, we will adjust the $cost of the examination and testing off of ***’s account, in an attempt to resolve this matter amicably

document that if necessary. The standard operating procedures for our office include quoting an estimated fee for both treatment and any examination and testing necessary for patients who ask during their initial phone call when scheduling appointments. Only estimated fees quotes are possible for examination and testing as the number of radiographs and type of tests may vary by patient. I also make it a practice to review the fees and restate that an exam fee is separate from the cost of treatment at the time of the patient’s first appointment, prior to providing any treatment. We realize the patients are frequently in a very stressful situation, and consequently, do not always have a complete recollection of our conversations. Also, while it is our standard practice to quote all fees, it is within the realm of possibility both my staff member and I neglected to explain the additional exam fees. Regarding Mr. [redacted]’s statement that some of the fees were not “recognized” by his insurance company, many procedure codes are not contractually covered by certain companies. This does not change the fact that the codes are legitimate and standard practice within the dental field. All codes used in our practice are from the ADA’s CDT: Code on Dental Procedures and Nomenclature and we are entitled to charge a fee for these examination and testing procedures. It is unfortunate that Mr. [redacted] feels he was treated unfairly. We attempt to treat all patients in a fair and ethical manner. Despite the fact we feel that these fees are completely justified, we will adjust the $175 cost of the examination and testing off of [redacted]’s account, in an attempt to resolve this matter amicably. Sincerely,  [redacted]
