**, *** to complete a code review for the new *** renovation to be completed in an existing buildingWe met the client on site to review the existing tenant space with the owner, tenant, contractor, building inspectorA drawing was prepared and sent to the fire marshal's office for their review and commentsBetween *** **th - *** **rd we received phone calls and emails looking for assistance with the construction with regards to the ceiling, electrical and ventilation from the client, building owner, and the contractor
On *** *th we received an email from the client after submitting *** **, *** invoiceThe client was concerned about the interest that was charged at the end of each monthAt that time the client was informed that there would be a second invoice sent with the time from ***We suggested we consolidate the two invoices to include all time from ***-*** to make it easier for the client and it would allow additional time to get financing in place and not be charged interestThe client agreed to this and two invoices combined total $*,***.** +HST which is under (as promised) the $*,*** estimate the client was initially givenWe had also informed the client if additional time was required to secure funding, the client could contact our office with the expected payment date and that would be marked on the statement of account to avoid interest charges
During our initial site visit the building inspector indicated that they did not require engineered drawings for the electrical or ventilationThe original scope of work included a code review of the tenant space; they did not include electrical drawingsIf the client had required these drawings this service would have been outside the scope of the code review requested and would have been an extra costIn the best interest of the client we agreed that the contractor could work with his subcontractors to make the appropriate changes to the ventilation and electrical which includes the fire alarm panel and associated devicesWe wanted to ensure that we met the clients' needs in a cost effective manner
On *** **, *** we received the client's authorization to proceed based on an agreed to scope of services and a fee, not to exceed $*,***.**
We received an email on *** **th, *** regarding the location of the fire alarm panel and pull stationsThis information would have been on the electrical drawings if requiredIt was mutually agreed that the contractor was to work with his electrician (subcontractor) to complete the electrical upgradesThe following morning we replied to the email and indicated that the pull stations should be installed at each exit door and the fire alarm panel is to be installed at the main entrance
On our drawings we indicated two doors where that panic hardware was to be installedAfter the clients discussion with the Fire Marshal and further investigation it was determined that panic hardware is not required for an occupancy of less than peopleAn email we sent to the client on *** **th, *** with an agreement that panic hardware was not required
During the code review an issue was identified with the suspended ceiling on the main floorThe current ceiling assembly did not meet the required fire ratingA fire rated ceiling is an assembly made up of certain materials to give an approved one (1) hour fire assembly that is required for this useThe building occupancy is required to have the fire rated assembly unless approved by the Fire Marshal and building inspectorWe were asked to help with obtaining approval with the existing suspended ceilingWe did research on the ceiling and could not find an approved ULC fire rated assembly using the open web wood joist and suspended ceilingThe owner of the building provided a letter from a suspended ceiling installer stating that the grid system did have fire ratingWe worked with the Fire Marshal's office in *** to get approval using the existing suspended grid systemThe final drawings we provided had the original suspended ceiling grid remaining and had changed the ceiling tile to a tile approved by the Fire MarshalThe final approval comes from the building inspector or the Fire Marshal and it is not in our authority to recommend installing a system that is not an approved assembly
We worked with the building inspector and the Fire Marshal to obtain approval on the demising wall assembly between the two tenants to ensure that the wall would not have to be upgradedOnce the grid system was approved we provided the client with a spec sheet for the new ceiling tileWe answered all questions the client, contractor and the building owner had during constructionEach phone call or email that came to us had to be researched and responded toWe correspond with provincial code authorities to attain proper approvals
At no time did the client raise any issues with our services prior to receiving an invoiceWe all agreed that the upset amount was $*,*** and that we were working on a cost plus basisThe total bill up to the fire marshal's review which was the completion of the code review was $*,***However, there were additional items addressed that were outside the original scope of work and, at issue of our final billing, we were still under budget by approximately $***We used the *** file that was provide by the original designer to prepare the drawings that were submitted to the Fire Marshal's office so they could do their fire prevention plan review which was completed on *** **th, ***Any work on the project from then until *** **rd were all questions through phone calls and emails that the client requested, we responded to all questions in a professional manner and our time was documentedIf the client had any concerns about how the project was going we would have worked with her to make sure that that the project ended smoothlyWith every project we work on we do everything we can to serve our client's needsThe fact that this project has resulted in the filing of a complaint with Revdex.com is very unfortunate and regrettableWe trust that this can be resolved amicably

I Provide the *** program which was to make the bill MUCH lower that $***Was sent a bill the told in an email it was to be void as "the bill was revised as our fees are under budget." I was not concerned about the interest as I was told I did not have to pay until the loan money cane inIn an email I was asked to do their job by contacting the Fire Marshal to see if I could get the needed informationWas given wrong information about panic hardware and I found this information out, this would have been an unnecessary expense.An agreement is an agreement even if it was verbal about the *** programI do not trust this company or the information they gave me

Thank you for taking the time to continue working on this Case File #***It is very regrettable that the customer did not accept the offer in my response on *** **th, ***We have been in contact with the provincial and local inspection authorities who conducted the inspections for this ***The inspectors are from three separate government departmentsEach inspector that was contacted stated that they were not aware of any major issues with "Fire Regulations" at any point during this project that would have delayed the opening of the ***I continue to struggle with finding any justification for the Client's initial complaint and latest responseI trust that we will soon be able to close this file
Customer: "A major issue with fire regulation was overlooked"
Business: The customer has provided no evidence or information pertaining to the "major issue" with respect to Fire Regulation which makes it difficult to prepare a response to this commentThe office of the Fire Marshall was contacted and this department was not aware of any fire regulation issue or oversight during their site review at this location
Customer: "You have just cost me thousands of dollars and a delay in my opening"
Business: We are not aware of any "major issue" that was an oversight in our report that would have resulted in additional cost and a delay in the opening of the ***Upon receiving the latest customer response we reached out to the inspection authorities that are familiar with this project to get their input on this statementEach department inspector that was contacted informed us that they were not aware of any "major issue" in regards to their site review that would have resulted in significant additional costs or a delay in opening

Customer: "I will not be accepting your offer to pay by the **st of ***"
Business: This decision is very unfortunateI feel that this offer was fair and reasonableI am prepared to extend the offer that was presented on *** **th, *** in our response to the customer's complaint and leave it on the tableThis offer will expire at the end of the business day on *** **th, ***If the customer does not accept this offer by that date and time I will be left we no choice but to send the bill to collection
