There was no coding error on our part. The patient had service on 9/13/and we received the chart from the provider on 10/2/and we billed the insurance in the amount of on 10/16/17. *** insurance paid the patient on 10/19/in error, which we had no control over, it was
an *** error. The patient sent us the *** payment on 10/27/for 298.20. *** then sent the provider a payment for the same amount of on 11/13/. We always have our Accounts Receivable department review the refunds and a refund was set up on 12/14/and the patient was told that the refund had to be requested from the provider after the close of the months reports. It takes a couple months. The refund was written and sent to the patient on 3/5/for the amount of 298.20. That should have been the end of it for us. However, the patient tells us that they signed our check and sent it to *** and I am not sure where they sent it as *** has many addresses in several states but to this day the check has not been cashed. The check has now been stopped by the bank. I felt like we did our part for this case but the patient asked us to send the check to them again and it was agreed to but we would deduct the stop check payment fee charged to us by the bank. The patient is upset and wrote to you. I feel that we are not the responsible ones, but in years we have not had a complaint that I know of and we bill for providers all over the United States.
