Consumer called Fountain View Village and made a complaint to our receptionist against one of our employees stating "they were not doing their job"This writer called said consumer, on May 14th, 2015, and she told me that our billing employee was using the "wrong codes" to bill her insurance as she
was getting billed for the last days of January of 2015? This writer started to explained to her that we have a contract with her insurance that allows us to only bill with certain codes, and the code she was telling me to use was not one of our contracted codesThis must have been unacceptable to her because she immediately handed the phone over to a gentleman who proceeded with the conversationHe told me that she was very upset by this and couldn't deal with it much more.By the end of the conversation with this gentleman, we agreed that I would send a copy of the two statements for January and February of 2015, to him via e-mail, which I did I then confirmed with him that he received them, and we proceeded to discuss the statements and how we used the same billing codes on both monthly statementsSo I could not understand why she was receiving a bill for the last days of January We both agreed that the same code was used and that the consumer would call her insurance.Later that afternoon I received a call from consumers insurance company telling me that I needed to change the billing code so the consumer does not get stuck with a billI proceeded to tell the insurance agent that we have contracted codes that we are allowed to use and those are what we use for billing purposesI told the insurance agent that she should cut a check to the consumer in the amount what she owes Fountain View Village and then the insurance company can try to find out why the contracted codes that we have used are not working for this consumerThe agent responded back several times stating over and over and over "So are you telling me you are not willing to use the codes provided by the consumer?" I stated we are using the codes we are contracted to use, again the insurance agent stated "So are you telling me you are not willing to use the codes provided by the consumer?" I again repeated myself and the insurance agent stated it a third timeI then proceed to ask the insurance agent if she wanted to talk to our billing associate, and she stated yes, so I transferred her.The next day I spoke with the gentleman again and sent him a copy of our contract, that clearly states we cannot use the codes the consumer is requesting we use I will also mention that her insurance company paid the claim in full for the month of February but not for the month of January, and the same code was used for each statement. After our conversation, I did not hear anything else from them until this response from you I would like to say for the record having personal experience with this type of issue, that I do understand how frustrating it is to have to deal with something like this, and I expressed that to the consumer on the phone and in an emailI am not the consumer who is covered by this insurance, so I do not know what is covered or not coveredAll I know is I tried to work it out as best I could, but unfortunately it was not good enough and I'm afraid will not be good enough for the consumer until Fountain View Village just "clears" the record of her debt, and unfortunately we cannot do that based on our contract. *** *** Administrator Fountain View Village *** *** *** ** *** *** Fountain Hills, Arizona
