Hello, I am responding to a complaint that we received. Please let me share that the date of the letter is April 14th. However, we just returned from vacation. COMPLAINT #: [redacted] submitted by [redacted] What the patient described as a billing issue was our practice following...

normal procedures. Mrs. [redacted] initially responded to our office stating that her complaints did not arise from a work related injury nor motor vehicle accident. He registration form is also marked “no” as it relates to that question. With that information she was processed as a health insurance patient and standard billing practices were applied. Only in July after the cost of her insurance co-pays became a challenge to her did she reveal that it was a work related injury. Please note that her employer was equally unaware until July. As a result her claims had been submitted to her health insurance until that point in time. Only after notifying worker’s compensation and our office getting authorization from utilization review did the billing get directed to worker’s comp. All of the above taking time to accomplish is the ultimate reason for delay in re-imbursement of any co-pays that were inadvertently paid as a result of the patient’s input. We do utilize a 3rd party billing company and standard procedures are followed daily. If further information is needed to substantiate our position and mitigate any inaccurate exposure I would appreciate the opportunity to do so.  I look forward to receiving the result of your decision. Thank you.   Ps: I have Cc my staff above in the event I am out of the office.   Sincerely, Dr. [redacted]President - Director of Clinics
