Hope all is well. I am writing to ask a few questions/comments before I submit my formal response to the complaint listed above. The customer sent an email to our software/billing company on March 1st that the billing issue was an error and it needed to be corrected by March 2nd or
else they would file a complaint. This email was sent to our billing company as well as their call was to the same company. They did not call/email/contact my club directly so I was unaware of this issue UNTIL the customer forwarded the email to me on March 8. Customer forwarded the email chain that they had sent to software company. As soon as I received the email, I personally called the customer and apologized for the error (which it absolutely was an error by a trainee) and reconciled the matter immediately. I also offered the customer a free month at the club in order to apologize for the matter. So, I guess my question to you would be: Is there any way you can reach out to this customer to see if they still want to move forward with this complaint? Again, the moment I received the email of this issue, I investigated, reconciled and personally called the customer and followed up with an email. I am assuming they filed the complaint prior to forwarding me the email on March at 4:45pm. I have been open for a little over a year and have never had to deal with a matter like this before. I am unsure if there is anything that can be done once the complaint has been filed. Obviously, I prefer this not be pursued, but am not sure if that can be prevented. I am confident that this situation was handled to the best of my ability as soon as the error was brought to our attention as it is extremely important as a small business owner to keep my clients and prospective clients happy. Again, I understand if this has to be recorded and cannot be withdrawn AND will follow up with a formal response to the complaint that can be posted. Please advise and thank you for your time
