July 7, High Country Conservatory of Music and Dance SCollege, Unit A Fort Collins, CO Attn: Dispute Resolution and Ad Review Counselor Re: Complaint by [redacted] *** Dear [redacted] [redacted] , I am responding to the letter I was sent by youI hope I am not too late to write my responseWe have a strict "Policy & Procedure" packet that is given to all of our clients when they join the studioIn this packet, it strictly states that if a student wants to withdraw from the studio, they must inform us by the first of the month in order to not be charged the monthly fee It also states in this packet that we do not pro-rate tuition unless the student has missed more than weeks during any one monthThis is due to the fact that there are multiple five week months where we do not charge our clients more for the extra week (The tuition is based on a four week monthI still have to pay the teachers for the fifth week, even though we do not receive extra tuition for those weeks.) [redacted] quit the studio the last week of the month without any prior notification and wanted to get her last week refundedWe told her that we would not pro-rate the last week, but would be glad to give her a free week should she decide to return (This offer was just to be nice!)This all happened last year so when all of a sudden we begin receiving emails after such a long time, we were extremely surprisedWe emailed her all the above information again (even though she had received all this information when her daughter had started classes with us)For these reasons, we will not be refunding her the $Sincerely, MicheIle M [redacted] , Owner High Country Conservatory of Music and Dance
