I have been corresponding with Mrs [redacted] to investigate further into the billing issues that occurred prior to my employmentI found that the original reservation at this hotel was for three nights with the first nights room and tax deposit due at the time of bookingWhen Mrs [redacted] called to cancel the room she was informed in error by the agent that she needed to cancel hours prior to arrival for a refund, it was a one night non refundable hotel reservationShe should have been billed at the time of booking but was notThe reservation agent billed her at the time of cancellation and instead of canceling the reservation it remained in the system allowing for the additional charges at day of arrival I offered my apologies for the billing errors made by the agent and I have informed Mrs [redacted] that we will be mailing her a refund check in the amount of $today August 17th for the additional charges The refund check was return receipt mailed out on August 17,

[redacted] called to cancel the room she was informed in error by the agent that she needed to cancel 96 hours prior to arrival for a refund, it was a one night non refundable hotel reservation. She should have been billed at the time of booking but was not. The reservation agent billed her at the time of cancellation and instead of canceling the reservation it remained in the system allowing for the additional charges at day of arrival.
I offered my apologies for the billing errors made by the agent and I have informed Mrs. [redacted] that we will be mailing her a refund check in the amount of $374.12 today August 17th for the additional charges.
The refund check was return receipt mailed out on August 17, 2015.
