I called the customer the day I received the letter to apologize and gather some more info. It sounds like one of our staff was out of line with this situation, giving the customer a hard time in a teasing fashion and using bad judgment and poor choices of words.
 
The customer did appreciate my call and apology. The staff member involved has written a letter of apology and explanation.
