March 13, Dear *** ***:This letter is in response to the grievance (complaint) filed by *** and *** *** that we received from you on March 8, 2017.The grievances involved the following:**and *** *** felt they received poor customer service since our representatives were unable to allow Mr*** to speak on Mrs***'s account. Discrepancies on the premium amounts due on Mrand Mrs***'s accounts in regards to total premium payments due, Mrand Mrs*** would like confirmation that the delinquency letters we sent were in error, and confirmation that there will be no negative impact to their credit tied to the past due notices.Customer ServiceWe understand that being unable to speak on a spouses' account seem like a frustrating situationWe apologize for any inconvenience experienced while attempting to contact our Customer Service DepartmentThe Health Insurance Portability and Accountability Act (HIPAA) requires we keep safe the personal information members give us, We are unable to give specific information to another person without the member's verbal or written authorization.Since a verbal authorization is only valid for a single phone call, members can complete the Authorization to Release Information (ARI) formOur records show that we received a completed ARI form on February 13, Mr*** will now be able to speak to any issues on the member's account, such as premium billing without additional authorization.Additionally, CMS requires that, if an individual isn't documented as a power of attorney, a completed Appointment of Representative (AOR) form accompanies each submitted grievance, Our records show we sent requests for this documentation, along with copies of the forms to sign and return on January 30, 2017, and February 24, 2017, but did not receive the requested documentationPremium Billing DiscrepancyAccording to our research, both Mr, and Mrs***'s accounts are both in good standing, with all payments received, including the current month of March, Johns Hopkins Advantage MD does not report to credit agencies, so there will be no impact to Mror Mrs***'s credit ratings.We have confirmed there was a banking issue with splitting premium payments between both spouse accounts, So Mrs***'s account was showing delinquent while Mr***'s was showing a credit, The discrepancy has since been correctedThis issue can occur if premium payments are sent on the same check, or in the same envelope.Please keep in mind each premium payment requires a separate remittance slip, If a check comes in and has no remittance slip attached the bank automatically puts it to one accountThis is an automated process that does not read hand written notes (such as member IDs on one check)To avoid this issue in the future, we encourage Mrand Mrs*** to separately submit a single check, with a single remittance slip, inside a single envelope.If either Mr, or Mrs*** feels we have not fully addressed their concerns or additional information is needed, they may contact our Customer Service Department at 877-293-We are open between October 1st through February 14th - Monday through Sunday, a.mto p.mand February 15th through September 30th - Monday through Friday, a.mto p.mIf the call is made on the weekend or a holiday during February 15th through September 30th, please leave a voicemail message and we will contact you the next business day, TTY/TDD services are also available by calling ***.We would like to thank Mrand Mrs*** for bringing their concerns to our attentionWe value them as members of Johns Hopkins Advantage MD.Johns Hopkins Advantage MD Grievance and Appeals Department
