February 16, 2017Dear Ms. Cameron: We regret that this patient isn't pleased with the fact that she was charged an emergency examination fee. We stand by this charge as the patient presented discomfort and was treated with a palliative treatment on that tooth to get her out of pain.We have discounted the normal emergency examination fee from $65 to $20 to the patient's benefit.To remedy this situation, we will no longer send bills to the patient and make her account a zero balance.We will forward the dental records to her so she can be treated at another dental • practice. If the new dentist wants x-rays of the tooth that needs more work, we will forward the x-rays to the new dentist per their request.Thank you for your time in this matter.Sincerely,Dr. John B, DDS

February 6, 2017Dear [redacted].We have received your letter stating a patient's complaint was received by your office and here is our explanation of what transpired in our office.The patient made an appointment to be seen by Dr. Timothy W[redacted] for discomfort in her tooth. Dr. Timothy W[redacted]...

examined her and treated her tooth because she presented discomfort in her tooth. When the appointment was complete, the patient checked out at the window and my office manager gave her an appointment for a root canal and post and core for the next week.My office manager advised the patient that she would call the insurance company to confirm coverage because the dental insurance presented is new for the patient. My office manager called the dental insurance company and was told that there is a waiting period for certain procedures (3 months/12 months waiting periods) and that the emergency exam and Palliative treatment is not eligible for coverage at this time. My office manager gave specific ADA dental codes to the Customer service representative at the insurance company. The emergency exam normally costs $65 and the Palliative procedure costs $105 which would total $170. My office manager advised me of this situation and discounted the price to $125 making the emergency examination fee $20 and the Palliative treatment $105. My office manager called the patient the same day and told her that the cost would be $125 total for both procedures and the patient advised she would pay it the next day, 2/1 and presented no problem with the charge.The patient did ask if the examination (regular exam) would be covered with a prophylaxis (cleaning) when she came in at another appointment time and was advised by my office manager that it would be covered by insurance with no waiting period. This was told by the customer service representative to our office manager without taking into consideration any dates of service when the patient had her last regular examination.The normal examination fee ($35) was not charged as the patient was here recently in September, 2016 for a regular examination and if the 1/31/2017 emergency exam was coded as a regular examination, it would not be covered because it would have been within the six months from the September appointment.We did submit a claim to the insurance company for the X-ray that was taken to diagnose the tooth and it was determined that the insurance company would provide coverage for that procedure and the patient will not be charged for this.We always try to accommodate our patients as best we can by providing discounts to them as a benefit to them when insurance doesn't provide coverage for specific dental procedures or when the patient doesn't have any insurance at all.
