First I want to note that this wedding happened on April 4, and nothing was pursued until late in May.
I am sorry that there was major communication problems, but 90% of the communication problems were simply due to the fact that the customers did not listen or choose to pay attention to
what they were told was to happen and what they were to doThey repeatedly by their own choosing failed to follow the agreed upon plans and timeline.
In regards to the rehearsal dinner on April 3rd, they were clearly told that a snack item or pizza from the business in front could be provided for themThey chose to bring in catered food items with chaffers and paper goods with a restaurant with an operating kitchen in the same building This is clearly against health code regulations From our years of experience, a rehearsal is always followed by a rehearsal dinner Instead of leaving the rehearsal location they decided to have a catermeal at the facilityWe had agreed upon a snack and not a meal.
The original agreement was for the wedding reception from 6:00-11:PM on Saturday This always means that we start serving guests at 6:PM.
We understood that the wedding was suppose to be right before 6:PM with everything to start at 6:PM originallyThen a few days to a week before the wedding, we discovered that the wedding was to occur at 3:PM We believed that the customers would hold the wedding ceremony, leave so we would be able to set up the room for the reception, and arrive again at 6:PM for their reception Instead, the wedding occurred at 3:PM, and was over by 3:PM After the ceremony, we were forced to scramble to set up the bar for the cocktail hour that was suppose to occur later in the evening and had to be fully staffed to start waiting on guests at 3:instead of 6:PM This an additional 2+ hours of service that we had not agreed upon
Our contracts are for five hours for weddings After speaking with them at a later date, it seems that they wanted those two additional hours without any additional charge
Our client is asking for a $refund for the two hours they were not contracted.
That seems very unreasonable considering all of the additional costs that we incurred but chose not to add to the bill.
For example:
Room Rental for Friday: $
Extra staffing fee for Friday; $
Cleanup fee for Friday night (due to non-contracted meal): $
Fee for wedding at location: $300.00
Advanced shours before the wedding (11:30-3:PM): $
Additional staffing for additional hours: $
As you can see, we have incurred a significant cost to try and accommodate these customers and their unorganized time schedule and plans.
We were not the only party affected by this failure to follow the predetermined guidelines An example of this would be the bar setup
Please help us resolve this issue within the next days.
