client has been communicating with me in regards to scheduling, canceling, rescheduling etc. in which I have been very flexible in offering what I could. November 30th I received a text from my client indicating she needed to cancel her appointment due to me to making another appointment elsewhere. I reminded her of the cancellation policy and the fee associated with it, which was discussed at initial session and stated in the informed consent in which both parties signed and agreed to. My client responded acknowledging the charge and proceeded to reschedule for a different appointment. I then proceed to charge card on file for the $120.00. When referring back to the signed informed consent I realized it had my old policy stating she would be charged the insurance fee and copay which equals to $66.47. I immediately shared my mistake with my client’s mother and stated I would refund her the difference and offered her a copy of the signed consent with the cancellation policy. Once the charge of the $120.00 went through, I immediately refunded $53.53 dated 12/01/17 and sent a copy of the signed agreement on Monday 12/04/17. I had apologized for any confusion this brought on, and asked how she would prefer communication for future to avoid confusion.
