Krayola's accounting records need to be audited and its business practices examined.I had three foster children enrolled at Krayola Learning Academy, Inc.. The last day of attendance for two was on or about 12 DEC 2012. The last day of attendance for the third child was about a week earlier. Notice was provided. It was my understanding that the account was paid in full.During the week of 17 JUN 2013, approximately six months after the children stopped attending, I received the first notice of an outstanding balance on the account. The "letter" included statements for two of the three children and a memo.The statement for the oldest child showed an outstanding balance of $35.40. The statement for the youngest child showed a debt of $159.60. Amounts on both statements were placed in the "OVER 90 DAYS PAST DUE" column. No statement was provided for the middle child.The memo from [redacted], the Center Director, was dated 17 JUN 2013. It included the statement, "You need to contact us immediately regarding this matter or we will be forced to seek legal action."I called Krayola Learning Academy, Inc. and reached the Assistant Director ([redacted]). I explained to her that I had just received my first notice of an outstanding balance on the account and with it a memo threatening legal action. I requested a full itemization of the accounts. The itemizations never came.On 2 JUL 2013, I stopped in at Krayola Learning Academy, Inc. requesting an itemization hoping to settle the account. The Assistant Director ([redacted]), pulled the accounting records for each child.There was a significant credit showing on the account for the middle child. This is the child whose statement had not been provided when Krayola Learning Academy, INC. first made its demand. After making corrections in last days of attendance and applying the middle child's credit to the total account balance, I cut a check for $15.80. The Assistant Director provided me with copies of all the children's statements. I really can't make heads nor tails of them, this is not the kind of accounting I'm familiar with, but she assured me all accounts had been zeroed out. We were paid in full.Last week, I received my first notice that our account was 90+ days overdue on the middle child. It has been four months since I zeroed out those accounts. Krayola Learning Academy, Inc. is now asking for an additional $44.80. Desired SettlementThe accounting records for this business need to be audited to determine whether or not the bookkeeper/accountant lacks basic accounting skills or if the books are being "doctored" to hide employee theft/embezzlement. Some best practice models in the areas of billing and customer service need to be implemented. I think a letter of apology to all customers who have had to deal with similar issues in order.Business Response After an extensive review on the accounts of [redacted], our findings indicate that [redacted] has a balance of $22.80 and [redacted] has a balance of $28. The children were in Krayola's care from July 2012 to December 2012. The family received child care assistance from the State of Tennessee. On the week of 07/30/12, the Child Care Certificate Program paid $91.20 instead of $114 on [redacted]'s account leaving a balance owed of $22.80. The [redacted] were responsible for paying $8 per week on [redacted]'s account and $19 per week on [redacted]'s account. [redacted] turned 3 on 08/23/09 and was moved to the 3 yr old classroom in September which caused his rate to drop by $10 per week. The [redacted]'s continued to pay $19 per week for [redacted] which caused an initial overpayment on his account. After applying all payments made by the [redacted]s, there is a balance of $28 owed on [redacted]'s account. Please see the attachment which summarizes the invoices and payment made on each account. As of December 9, Krayola has decided to write-off the balance of $50.80 owed by the [redacted]s. Final Consumer Response (The consumer indicated he/she DID NOT accept the response from the business.)"As of December 9, Krayola has decided to write-off the balance of $50.80 owed by the [redacted]s."Deborah [redacted] "cleared" the account with Krayola Learning Academy, Inc., in person, on 2 JUL 2013.
