Contact Name and Title: Mary B
*** first came into our office on 4/9/2019. She did not have the necessary information to file her return. We filed an extension and gave her an organizer to categorize and total her expenses. We did not hear back from her until 5/29/2019 when she called to get our email address, which we did give to her.

The next time we heard from her was in November, after the October 15 filing deadline. We met on 11/12/2019 at 4:00 p.m. to supposedly finish the return, but again the receipts had not been sorted or added. After helping her sort for over an hour, she had to leave and she stated that she would finish sorting and adding and email me the numbers needed to finish the return. I spent the next two hours putting the receipts we had sorted onto a spreadsheet. I stressed the need to finish soon and she said she would have it done in a day or two.

On 11/19/2019 I sent her a text asking if she had sent the email since I had not seen one yet. She replied that she would send it and asked if she was supposed to add up the numbers by the month or for the whole year. I replied for the whole year and sent her my email address again. That afternoon, IRS shut down electronic filing for the year to begin programming for the upcoming tax season. This happens every year around this time. That evening, she texted me the amounts spent for food and repairs, but no other figures. She texted the next afternoon, but I was in a tax conference and did not have the office phone.

Once the IRS shuts down, there is nothing that we can do on our end with the returns until late January when they open up e-filing again. Our message changes at that time to reflect that we are closed for training and the holidays.

The next, and last message I received was on 12/21/2019 asking if we were open.
Again, we were closed at that time, a fact clearly reflected on our doors and our voicemail. The voicemail also stated that we would be open again starting January 13, 2020 for the new year. I notice that was the same day that she filed the complaint. We were not intentionally holding her documents or avoiding her, but after numerous attempts to finalize this return, it was not accomplished before the shutdown. Our hands are tied by then.

I am sorry that she is upset with us for not being open between Thanksgiving and New Years, but it is standard practice in our industry. She is welcome to come pick up her documents at anytime. She can also call but the phone number listed on this report is not correct, which may have led to her frustration. That number was an old number to a branch that we closed five years ago. Our number is (901) 542-9600.
