As per our phone conversation, I am responding to the above complaint.
  
I met with the...

couple to discuss their budget and venue.  We met on March 19, 2014.  I had discussed the need to use the kitchen at the house where the wedding would be held. At that point, I had not required a deposit since it was contingent upon the owner allowing me to do all the cooking in their kitchen.  The groom handed me $200.00 cash and told me that it was mine whether they booked the date on August 16, 2014.
On Tuesday, April 8, 2014, I had a site visit to the venue.  It was a residence of a friend of the groom's.  We had decided that the menu would fair well in their kitchen and we agreed to go ahead with the planning of the menu.  I had proposed a budget of $3,500.00 (35/person).  I sent the proposal and neither the bride nor the groom would respond. Finally, I contacted them and asked if they had any changes to the menu.  And we all agreed that 35/person was the right price per person.
After some time, the bride called and asked what it would cost if they decided on the beef tenderloin?  I responded that it would be much higher price and my second proposal was dated on 7/14/14 only two days left before the cancellation date where they would receive a full refund and that the approximate price of the menu I first gave them was more doable for $35/person.  They insisted on the beef and wanted me to quote them for it.  After hearing that the price was a bit higher than the original quote they dropped their contract.  I was blinded by this decision.  And the event was to take place 30 days from the date of the cancellation all deposits were due them.
My first call was to resolve the pricing of the menu but I tried with several attempts and failed.  Phones calls went unanswered.  I wanted to work with them to not lose the business but their reply was that they had acquired other services.  My contract reads, "They will receive full refund of the deposit if done within 30 days of the event."  They would have lost $0.  But I was a small business owner and became unprepared for these circumstances.  I had used the money and was only able to pay $800 of the $1,000.
I received an email asking me to please respond with the deposit amount of $1,200 since it was paid by cash.  $1,000 was paid by Master Card by the bride's father.  The groom told me it was not.  After contacting Square my credit card merchant, I found out the ff:  "They had paid by credit card and I was willing to refund them but the card was charged more than 60 days prior to refund.  The merchant asked me to either refund by cash or check." 
I called both the parents who gave me their credit card and they seemed to agreed that as long as I was able to refund them the majority that I could pay back the rest.  I decided that I would pay them back $400.00 instead of $200.00 since I did not lose any money during the transactions.  I have kept to my end of the bargain.  My contract does not read that the monies have to be paid back in any length of time.  It was understood that I would pay back the remainder of the balance in a timely manner.
After I was threatened by the groom, that he would sue me.  I suggested that he read the contract.
I hoped to gain the respect of all my customers and their business is really important to me.  I thought that this issue would be resolved more easily and more amicably but unfortunately, I was told that they could not honor the price even though they had wanted to budget $3500 for the entire event and changed the disposables to china at the last minute.  It cost me more staff and more groceries and I felt they were using the time element to my disadvantage.  I explained that the price of beef was what would drive their cost and the fact that disposables were not going to be used.?
