This letter is in response to the concerns raised by Mr. [redacted]. My name is [redacted] and I work
as a Patient Financial Advocate in our Revenue Cycle office at Mayo Clinic Health System (MCHS).
The patients concerns involve two issues: (1) MCHS bi lled him for medical services...
on behalf of a minor
child for whom he was the legal guardian; and (2) he received severa l phone calls from our Patient
Financial Services Department attempting to collect on the bill. In his settlement request Mr. [redacted] is
asking for the calls to stop and for us to refund him the $223.51 which was the amount he paid on the
minor child's account.
Mr. [redacted] received statements for services of a minor child in which he was the legal guardian. In the
notes on this account he had asked that MCHS send the bills to Hennepin County as he stated he wasn't
responsible for the bills. We did not have a release of information on file for the patient rendering us
unable to send claims to Hennepin County. Paper claims were sent to Mr. [redacted] and we asked him to
forward the paperwork to Hennepin County. We received payments from Hennepin County; posted
those payments to the account; and sent a statement to Mr. [redacted] for the balance of $133.84. He paid
that bill. We later discovered a payment of $89.67 from Hennepin County, which was originally posted
to this account, was removed as it was found to belong to another patient.
Unfortunately, when Hennepin County sends payments they don't indicate which patient they are
paying for. Due to the payment belonging to another patient, this was removed and now the account
showed a balance due of $89.67. Again, after several phone calls, Mr. [redacted] did pay this 589.67. The
total amount Mr. [redacted] paid was $223.51 for bills for the minor child.
After review of Mr. [redacted]'s account, we confirmed that Mr. [redacted] received several phone calls. Our
process has been changed with the number of phone calls made to a patient and the frequency of
messages left. In hindsight, we could have requested a copy of the court documents that Mr. [redacted]
stated would show he is not responsible for the bills. By doing so, the correct Guarantor could have
been set up on this account. When the request was made to send bills to Hennepin County we also
could have sent a release of information out and if this was signed and returned we could have sent bills
directly to Hennepin County instead of to Mr. [redacted]. Mr. [redacted] will not receive any more collection
calls on this account and I have made arrangements to have his $223.51 refunded to him.
We will review this situation with our staff. We will send Mr. [redacted] notification that his concerns have
been addressed and he will no longer receive phone calls related to this issue. He can expect a check in
the mail for$223.S1.We would be more than happy to answer any further questions Mr.[redacted] may
have.
