and process any federal overpayments (Medicare or Tricare) , then any State overpayments (Medicaid), and then we review any carriers that we have a contractual obligations with (*** *** ***)then we review patient overpaymentsOnce we are aware of an overpayment, a clerk must verify the existence of any overpayment by pulling all payment information from all parties involvedOnce the information is reviewed the account is flagged for a refund and refunds are issued on the last day of the monthOnce the check is printed we must verify the information we printed and attach all documentation that proves the overpaymentThose checks are then sent to our client's accountant or clerk to verify our work and enter the data into their accounting system and transfer the funds to cover the refunds to their refund accountThe checks are then signed by their authorized personnel and returned to us to mail outThe entire process can take up to daysWe have a days billing process that includes statements and a last letter to the patient before we take any collection actionsIf a patients chooses to make a payment plan then we allow a patient unto months to pay a bill without charging interest or late feesThis patients refund was printed 3-31-and was just returned to us to mail out this weekThe patient was informed of the process and she continued to call every week asking about the checkShe was never told it would be 'next week' as our response in regards to refunds are: "it is in process" or "it has been mailed"

review and process any federal overpayments (Medicare or Tricare) , then any State overpayments (Medicaid), and then we review any carriers that we have a contractual obligations with ([redacted]). then we review patient overpayments. Once we are aware of an overpayment, a clerk must verify the existence of any overpayment by pulling all payment information from all parties involved. Once the information is reviewed the account is flagged for a refund and refunds are issued on the last day of the month. Once the check is printed we must verify the information we printed and attach all documentation that proves the overpayment. Those checks are then sent to our client's accountant or clerk to verify our work and enter the data into their accounting system and transfer the funds to cover the refunds to their refund account. The checks are then signed by their authorized personnel and returned to us to mail out. The entire process can take up to 90 days. We have a 90 days billing process that includes 2 statements and a last letter to the patient before we take any collection actions. If a patients chooses to make a payment plan then we allow a patient unto 12 months to pay a bill without charging interest or late fees. This patients refund was printed 3-31-2015 and was just returned to us to mail out this week. The patient was informed of the process and she continued to call every week asking about the check. She was never told it would be 'next week' as our response in regards to refunds are: "it is in process" or "it has been mailed".
