review and consideration. Maredith Management does not have the authority to reimburse these fees. Additionally, the Board of Directors will have to decide if they want to send "clean up letters” to homeowners showing them what their balance remaining is. This is an added cost to the homeowners association. Review: Maredith Management does not keep accurate records of HOA payments made on behalf of their clients. When a payment is submitted to their company, they issue a receipt indicating they have received your payment, and then drop your initial payment (check, money order, etc.) into an envelope and send it to another company. After your payment is shipped out to another company, Maredith Management has no way of tracking to see if the money order/check has been cashed, nor do they log your payment into a system in their office. I dropped off a $500 money order to pay my HOA fee in February 2014. I went back to the office 7 months later (September 2014) to make another payment, and was told that I owe $500. I was shocked! They had a their copy of a receipt stating that I made the $500 payment in February, however, it was never credited to my account. When I asked a representative at Maredith how this happened she indicated that the company they sent the money orders to did not log it into their system, or the money order may have been lost in the mail. They indicated the only way to credit my account is a copy of the original receipt money order from ME, so they can track the money order. Thank God I kept the attachment receipt from the money order, along with the store receipt that showed when/where I purchased the money order. When I went back they indicated that if I didn't have a copy of MY receipts, I would have been summoned to appear in court (along with court fees) for the mispayment of my HOA!!! Bad business for them. No records of payments, not following up with customers if a payment is missing, etc. They were just ready to take me to court!!A week later (September 10, 2014) I asked them if they were able to track my payment to see what happened. Again, no results. I was told they are "working on your account" and we will follow-up with you. . . .I am so disappointed with their payment system. And the account manager has yet to contact me.Desired Settlement: I would like for Maredith Management to implement a payment processing log that includes the following: the date you paid, the amount you paid, who the payment was submitted to, the money order or check number from the payment, and a copy of your original payment submitted. In addition, they need to provide you with a copy of your payment and balance within 1-week of the payment date.In addition, a representative handling your account needs to follow-up with their customers within 24 hours!
