I have attempted to contact [redacted] by phone, but she and I keep missing each other I spoke to her husband and it appears that our office was communicating by phone and email with both [redacted] and [redacted] about the unpaid amount, but the information wasn't being relayed between the parties and the information being that was sent by email was further adding to the complication by not being seen or understood When I spoke with [redacted] on Monday, January 13th, I apologized for the misunderstanding and really hoped that I'd be able to speak to [redacted] directly to further offer my apology to her directly As I told ***, I think that perhaps my staff should have said, "While we are working through getting the balance paid, I want you to know that you'll still be getting the pre-eviction letter in the mail The language is dictated by the courts, so it's pretty harsh But as long as you get us the balance, everything will be fine." Since they have historically paid on time and never received a pre-eviction notice, it probably was quite unsettling and because the email hadn't been seen that contained an "Eviction Hold Off Agreement", they wouldn't have known that the Notice was not as 'final' as it indicated I've discussed this with my staff so that they would understand better what had happened and how letting renters know about the letters in advance can help with taking renters by surprise if we are working through matters with them When I spoke to [redacted] last Monday, I also let him know that amid the upset, we still had not received the funds at the time of that discussion He was very surprised that we had not yet received the payment and said that his bank had sent it the previous Wednesday I offered that perhaps it was delayed because of the weekend and MLK holiday [redacted] was very nice and was quite willing to bring replacement funds to us if needed We received the payment in the mail on Tuesday and notified the tenants that we had received them.It's our hope that the miscommunication will not affect our longstanding relationship with these renters They have historically paid on time and I think we all now understand that it was just an issue that information was not being fully circulated and received as we were working through things If there is anything else that the Tenants need or want to discuss, I am available and interested in hearing from them
