ID#*** To Whom it may Concern: Your correspondence in regards to the complaint from *** and *** *** has been received and duly notedNorthwest Quilting Expo is an LLPShellie O*** is not a partner of Northwest Quilting Expo and is not authorized to make any financial decisions for
the businessShe is not an employee of the partnership, she volunteers her time to organize the quilt showShellie suffers from severe complications from her diabetes, is visually impaired, on dialysis and disabledThe partners of Northwest Quilting Expo were unaware of the email exchanges she was having with the *** The first we heard of her arrangement was when the *** delivered the quiltsThey presented an invoice of expenses from Phoenix to Portland immediately upon arrivalWe paid it and double the amount of that invoice in cover the cost of expenses for their return trip homeWe never received any receipts or an invoice for their return trip after the showOur understanding that the money we paid them was for complete reimbursement for the expenses for their trip to and from ArizonaStunned at the amount of their request, we chose in good faith to honor their request and paid the entire amount on their expense sheetWe paid $to the ***We question the excess amount they were claiming, as it is miles or about hours of actual driving time requiredThis trip could have been accomplished in two days with one hotel stayThey submitted an expense worksheet reflecting four days of travel, meals and three nights of hotel accommodationsThis reflected hours per day of actual travelWe checked into the cost of shipping the quilts, the estimate would have been approximately $It was a surprise when the *** sent us a request for additional funds in OctoberAs a business, we reviewed their request and denied itWe feel we have fulfilled our obligationWe have been putting on the show for yearBefore this incident we have never encountered the need for a formal contract with people when they are bringing quilts to the showAs a result of this unfortunate incident we have put in place formal limitations as to reimbursement amounts for transporting quilts limiting the reimbursement amounts to what it would cost to ship them
