Hello *** Thank you for the follow up callThis is the first email I’ve received from you due to the incorrect email you had on fileGlad that was corrected?We have screening criteria’s; any person over the age of must be screened, and it’s also listed in the lease agreement that ***
signedIf it had been disclosed during the time of the application, that the mother would be residing in the home, we would have asked for an application for her thenIt wasn’t until after she signed her lease, moved in, and left for deployment that it was brought to my attention that the mother was living in the homeThere were packages being delivered almost daily, (the content of the packages are irrelevant) one of the packages was not in ***’s nameI asked the woman who that was, she said it was herself, up to this point, I was under the impression that the mother, was *** because the mother was the only one I’ve had any communication withThe first time I met the mother I even called her ***, and was not correctedWhen she told me she wasn’t ***, I asked if she lived in the apartment as wellShe said YesI let her know we would need to screen her, add her to the lease so she could receive mail, and use the amenities, enter work orders, and ask questions pertaining the apartment especially since *** was not thereThis would keep her in compliance, and not considered an unauthorized occupantI was not unprofessional, I explained our policy as I would explain it to anyone in the same situationShe filled out the application, we got her added to the lease and we had no issuesUntil, recently when the mother brought in orders to be let out of the lease agreementThe orders were late according to the military clause/lease, and the notice was not given within the required 20-days prior to the end of the rental period(also in the lease agreement) Additionally, she wanted to use the orders to break her lease agreement to move into a house on base, which is not more than miles away(per the military clause). Sounds like either *** was misinformed, or misunderstood the commanding officers orders and military clause by the way she is describing itEither way, this is not the fault of the apartment community, or myself as the Manager of the communityI am here to enforce the lease agreement, and I would be happy to help her, or suggest options for her to be released from her leaseBut, as of today I have still not heard from ***Granted, She is on deploymentBut if she has time to reach out to the Revdex.com, and leave inaccurate reviews on our communities website, then she should find some time to talk to me personally. The facts and specifics to this incident were not disclosed in her complaint, the conversation I had was with the mother, it seems the pertinent information I had given the mother, was very distorted, and incorrectly translated to ***I do not have any reason to mistreat, or misinform either one of these ladiesIf given the opportunity to help them, I think they would find I am reasonable, and fairIt is unfortunate they have concluded the end result without giving me the opportunity to provide them with additional optionsThey really are doing their self a disservice by this conclusion Since the one conversation I’ve had with the mother regarding the orders, I have not heard from themThis is even after I requested to have *** reach out to meI’m confident she’s just not understanding the processAgain, not any fault of my own. We do mail out a copy of the move out forms to every tenant that moves out with in the required amount of time. Most often it's within 7 days of move out. This particular packet was mailed out on 9/5/17. Once the mail leaves our office we do not have control over it. If something happened while it...

was in the care of the postal service, I wouldn't know that. Often we receive returned items 3-4 months later, we have not received return mail for this particular tenant. We give 90 days to try to collect, via the mailing address provided. [redacted] did call recently, to notify me he did not receive his move out paper work, and it was emailed to him. He was aware he had a balance, it was told verbally to him over the phone as well. We  hire a 3rd party collection company to handle our accounts, once it's sent to that department they are the ones who need to deal with the resident, to avoid any discrepancies. We were very fair with the charges, the apartment was not left in bad condition. It had just a few things we needed to do. The worst of it was the carpet that we had to do a lot of work to, but we did not charge the full invoice amount. The invoice was $225 for a deep clean, stain removal, deodorized and color restoration. [redacted] wasn't charged even half that cost. We charged $85. As far as the cleanliness, he did make great efforts to clean the unit. Normally we would pay a cleaning company $200, but because he did a great job, we charged him a spiff clean, meaning we had to pay just for someone's time to do the few things that were missed. Again, he was charged less than half of what we would normally charge someone at move out. I added a few examples of what items were missed, along with the invoice for carpet cleaning. The same goes for the paint, it was very minor. We charged $75 for a touch up, and that is for time and labor. If it was a full paint, we would charge anywhere from $300-$600. In this case, we were very lenient on his charges because the unit was over all, left in good condition. We have no reason to with hold his move out paper work, it doesn't do the company any favors to have anyone sit on our accounting books with an outstanding balance. It's unfortunate that he is doubting the paper work being mailed off. It seems like the easiest thing to blame the sender, instead of the carrier. We might not ever figure out the mystery of the mailed off envelope, and we still might receive the envelope in the mail as a returned item. But, the fact that he got the account settled is the main idea of sending his account to collections. It did not effect his credit in a negative way, because we set up our account with them to give 30 days to respond, by paying or setting up a payment plan. That is total 120 days after someone moves out. Although a collections company has a bad reputation because ultimately they are the ones to report to the credit bureau, they are also who, most companies call to help collect, since that is a lot of additional work and a small office can not do that 100% of the time. I feel the collections department did what we hired them to do.
