The above client had contacted our office on 08/28/15 regarding a refund. The client was informed on 08/31/15 that refunds are only done once a month. That they are sent to Mr. Ostling at the beginning of each month for audit & review. That...

once I receive it back from him the checks are issued and mailed out by the end of that month. Her filed was sent for audit and review at the beginning of September and was billed out per the attached Legal Representation Agreement. Each time the client called, she was informed that her file was being audited for the work that was done and once I received it back from Mr. Ostling, a check would be issued for any remaining funds & mailed out to her. At no time was the client informed she would receive a call back regarding the amount of the refund, only that it would be mailed once I received it back from Mr. Ostling. After a final audit and review of her file was done on 09/23/15 & it was approved by Mr. Ostling, a itemized statement showing all charges was mailed on 10/12/15 (see attached). The client called on 10/15/15 regarding her final bill and her disagreement with the final bill. She was informed during this conversation that she was billed according to the Legal Representation Agreement. A copy of the signed Legal Representation Agreement was mailed to the client on 10/15/15 after speaking with her.
