Dear Mrs. [redacted],
I am happy to respond to you in regards to your dissatisfaction with the contract negotiations with me but I feel it is unfortunate that you've chosen this Revdex.com stage to do so. The Revdex.com is a professional organization...

and not a blog or Facebook page. The Revdex.com is reserved for complaints towards companies that a have provided negligent and/or poor quality of work or products in the execution of a project or service contract. It is not intended, in my opinion, as platform to vent your frustration with a company's policies or procedures.
I would carefully consider your allegations and comments as they could be legally construed as defamation.
Your complaint centers on contract language. We have been a long standing service provider for your privately managed Master Association. You are fully aware of the time frame in which the contract renews annually and have acknowledged this in the past.
1) We've had an established mutually beneficial relationship on good terms and provided additional services in good faith to you. You asked me for a revised contract and stated that you would not sign off on it until the changes were approved.
2) I responded with the reminder and notice that the contract had already renewed and I would work with you to integrate your revisions/needs.
3) I have not received and executed copy of the contract to date with your signature or that of an approved signatory of your association.
4) I spoke with your finance management firm weeks before your change of vendor and acknowledged that we were not performing services this year and to contact you for further information on billing and vendor details. We have not held you liable for the binding renewal obligation.
5) We professionally communicated and provided your irrigation backflow equipment, we've stored out of the elements over the winter, to your new service provider in this transition.
6) Where in this process have we not provided products or services? We cannot do so, per your 1st email of 2015, without approvals, a signed acknowledgement of our proposal or a negotiation to address the new items you demanded would be rebid for 2015.

I'm sending this out to the board to review. We meet w/ the park peeps tomorrow since they've gotten so many calls from residents. I'll keep you posted on that as well.

Hope you are doing well. We are working on the budget for [redacted] for the upcoming year and would like to have Outdoor Environments bid out the work. In the past, it has auto-renewed and we would like you to bid it out with the following. We do not want it to auto-renew until we've signed off on it.
My preference is to have you continue to do the work since your team knows the area, but it's been awhile since we went through the bidding process so we need to do due diligence.
1. Add the corner flowerbed at the park. (Maintenance only - weed treatment. We will do the planting.) Please provide line item for this piece.
2. Provide an estimate that includes a line item for the annuals planted at the entrances. The team planted the right flowers last year, but they did so haphazardly. (There were two colors - white and yellow. Instead of mixing them, they put white on a little more than half and then the yellow in the remaining area. It looked goofy. We are considering breaking that out for another vendor to do.
We need to have our budget completed in the next two weeks. Please let me know if we can expect a bid from you in the next week or if that's not reasonable.

Ok, to be very clear....I am giving you notice that legacy park will not auto-renew for 2016 without discussion. This notice well exceeds your excessive renewal period. I have copied our property management contact as an FYI.
As I stated below, I was inclined to continuing our ongoing relationship. I just wish you had handled this response differently, [redacted]. You answered none of my questions or concerns in my email below and your response was not timely.

I did not pursue any RFPs because of the contract rolling over with you in January. My response to you gave you notice that we would be putting it out for RFP the following year so that we could do our due diligence with an RFP since it has been five or six years since we've done one.
I did not (nor was I led to believe I could) cancel the contract as it stated it auto-renewed.
What is going on? Please contact me to resolve this issue asap.

(The consumer indicated he/she DID NOT accept the response from the business.)
They did not contact me after repeated requests to do so, which I included in the complaint. The documentation provided stands. [redacted] is providing do umentation from the previous season, which has no relevance. Again, this could have been easily remedied with a simple phone call.
The Revdex.com exists to help when the businesses do not respond to issues. I need no lecture on the process used, nor threats about defamation and lawsuits for exercising my right to use the Revdex.com.
You stated the contract auto renewed. There is no signature on file for previous years where it has done so.
