office concerning our hall rental. For purposes of this response, we will refer to the parties as “the complainant”and “the hall "the hall representative”. Also, please be aware that the Parma Elk property consists of the hall area which which houses its own kitchen (“hall kitchen”)and the members only lounge (“lounge”)which also hosts its own its o kitchen (“lounge kitchen”). The hall rental includes access only to the hall and hall kitchen and does not allow renters to utilize the lounge kitchen nor are renters or their guests granted access to the lounge with the exception of the signer of the contract who may enter the lounge to report to the hall representative or bartender any issues with the hall rental. lease note also that our rental contract does not dictate that the Elks hall representative remain on the premises for the duration of the event and the renter is told to see the lounge bartender if there are any concerns and upon leaving the facility.) The parking area consists of spaces in both the front of the building, as well as, ampel parking in the rear of the building. If we may: We did indeed rent the hall to the complainant for her personal function which was held on on December 16th, 2017. The complainant contracted the hall for the hours of 5:00 p.m. to 10:00 p.m. As a courtesy to our renters, we do allow them to arrive early in order to set up.As there was an earlier event scheduled that day, we told the complainant that she could arrive at 3:30 p.m.to set up. As she was she was concerned about having enough time to set up,we assured her that not only would we allow her to arrive 1 and 1/2 hours prior to the event, we offered to have our staff and volunteers assist her with her set up which I the sole responsibility of the renter. Or staff assured that the hall was cleaned and prepped well before her event and offered to do whatever they could to assist with the set up. Further, we extended her hall rental time by an additional hour at no additional cost to her. The hall was set up well before 5:00 p.m. and the complainant thanked our staff and volunteers for the additional assistance. During the event, the complainant pointed out a few items which she was unsatisfied with such as the placement of the toilet paper in the men’s room, along with the shortage of hand soap in the men's room. These minor items were immediately addressed upon her request. Unfortunately, the complaint regarding the coffee was merely human error. Our representative prepared the coffee pot, but but inadvertently failed to place the coffee in the pot. One of our members, in an attempt to assist, immediately provided a replacement pot and assisted in getting coffee made for the guests. As or the complaints about Elks members entering the hall kitchen, that is simply untrue, the complainant apparently mistook the lounge kitchen as par of the hall kitchen. Prior to the event, we did indeed post a sign on the building which simply read“hall parking in rear” This was done as most guests to the hall are unfamiliar with the fact that there is parking in the rear of the building. We do this as a courtesy to the guests and to alleviate parking congestion handicapped spaces are available on a first come/first serve basis as is the case in any parking environment and are are located in the front of the building. At no time did the Elks hall representative or any other representative of the Elks tell the complainant or any of her guests that guests could not utilize the handicapped parking. The day after the event, the complainant visited the lounge to retrieve an item that was left at the event. Upon arrival, she was verbally abusive to the bartender on staff and asked to speak with a a trustee. Two trustees who happened to be on site at the time did indeed speak with her and, while not warranted, refunded the cost of the hall rental to her in full. As an aside, we would like to add that the complainant has visited at least one other local hall and has slandered both the Elks organization and the hall representative when speaking with the other organization. We do fully intend to draft a cease a desist letter in the matter. As you can clearly see, the Parma Elks has gone above and beyond to satisfy the complainant albeit to no avail. Beyond a full refund which has already been extended, we have no further actions to offer. We appreciate your prompt attention to this matter and trust that upon review, this complaint will be deemed fraudulent and having been based solely on malice will therefore be dismissed immediately. Should there be a need, we can be further contacted via U.S. Mail. Very Truly Yours, Parma Elks Board of Directors
