Thank you for your help with this matter
concerning one of our customersWe would like to apologize for any
inconvenience that this has caused *** ***We do have record of the
customer filling out a Cancel request form for the Fit Body Wrap portion of her
membership and a Six month freeze request for her Spa Membership on 5/**/
This would have authorized the company to bill for two more payments (6/**/
and 7/**/13) for the Fit membership and then $each month for six months on
the Spa membershipWe have an Electronic Funds Transfer authorization per the
contract *** *** signed on 3/**/that also describes the cancellation
policies.
This particular location did receive a new manager in July that
year but when the customer called in on 7/**/13, we informed her that July was
her last month per her cancellation request and she requested a refundThe
manager left her a message on 7/**/and her account was cancelled per the
policy on her contract.
The Spa membership remained frozen through the month
of November and we were unable to reach her in December or JanuaryWhen she
called the spa on 7/**/13, our representative spoke with her about her Spa
membership that was frozen and *** *** acknowledged that it was not
supposed to be cancelled; only the Fit membershipOur representative was told
that if we did not refund her last payment that she would request a cancel on
the Spa membership.
Unfortunately, we did not resolve the issue and had
to keep billing her per the contractAt this time, we are willing to cancel
out her spa membership with no further payments to make up for the failed
communicationWe are a clientele based business and when we lose the business
of even one customer we must make changes to our operations in order to prevent
a similar reoccurrence.
