I am writing to you to respond to the complaint that was mailed to us in regards to case ID ***, please find it below? On the morning of June 1st our office received a phone call from the customer, with concerns of why we had not be out to mow the property in question on the scheduled
dayTypically this location is scheduled to be mowed on a Wednesday, which would have been May 30th for that service weekDue to the Memorial Day holiday, and loss of work due to rain on May 30th, our schedule had fallen two days behindWe regretfully had not reached out to the client to inform them of this delay prior to them contacting us on June 1stOur office staff apologized repeatedly and let them know we could make it out there that day by 11:am to take care of the mowing services for that weekThe client began to berate our office staff for the delay and asked to speak to one of the owners of the company, our staff placed the client on hold while they brought the phone to me, when I answered the client had disconnected from the callAfter the client ended the phone call, they began to send unprofessional and disparaging text messages to a person on our sales staffOur office staff called the customer back to try to smooth things over with them and let them? know I was happy to talk to them, the response was again combative and completely unprofessional, including personal digs to a member of our office staffThe client was again placed on hold for me to answer for just a brief moment (less than seconds) and again had hung up by the time I answered the phoneThe client followed that up with more unprofessional text messages to our sales staff? Later that morning I sat down with one of the other owners of our company to determine how we would like to move forward with this clientDue to the treatment of or office staff and how unhappy the client was with the situation, we thought it best to terminate the contract immediatelyThe client was called at approximately 11-11:am to disclose the immediate termination of the contract, the client did not answer the call, and the information was left in a voicemailLater that afternoon a representative for the client contacted us discuss the situation and we informed them that the contract had been terminated and we would no longer be providing servicesWe also informed them that any current balance on their account would be forgiven, and nothing further was owedThe customer had a contract setup for the year, and was being billed an even monthly amount of $260.33, which would have been billed times over the seasonThe client made one payment to us on that contractOn this contract we performed; mulch installation ($436.00), bed edging ($142.00), spring cleanup ($200.00), irrigation startup ($95.00), early spring turf fertilization ($48), and five mowing visits ($40.00/ea, totaling $200.00)These services total $1,121.00, minus the payment of $260.33, that leaves $worth of services we have written off for the clientThis amount more than covers the $value of the free mowing services requestedWe are not willing to provide any additional services for this client or continue with any further communication, which may expose any of our employees to any further disparaging remarks?
