Review: They charged me a fee for stopping payment on a check AT THEIR REQUEST. It resulted from their incompetence at sending payment coupons with wrong account numbers and not notifying anyone that the submitted account number was wrong. At their request, I stopped the already mailed payment and issued a replacement, so their now charging me a fee is reprehensible.Desired Settlement: Refund the fee

Dear [redacted], We are responding to complaint #[redacted]. Our company is in the business of managing homeowners associations. It is not our business to make decisions for the [redacted] or the [redacted] for those [redacted]. We act on the [redacted] directive based on their decisions as a [redacted], the [redacted] governing documents and [redacted]. In this case, Ms. [redacted] who is an owner of the [redacted] received the [redacted] assessment coupons for her monthly assessment approved by the [redacted]. The coupon book has one coupon per month. The coupon clearly shows the account number, owners name, amount due and due date, late fee if paid after due date and mailing address. Ms. [redacted] replied on Saturday, [redacted]012 to an automated email sent out on Friday, [redacted] on behalf of the [redacted] advising homeowners about the coupon books and new payment mailing address. Our office was closed for the Christmas holiday so she did not receive a response until we returned the following week. In the communication between Ms. [redacted] and the [redacted] manager (see attached email) Ms. [redacted] advised that she had already spoken with the bank and requested to cancel the check. In following the communication, nowhere was she advised to cancel the payment. This was also reiterated in[redacted] email response to Ms. [redacted]. The Association has changed payment processing locations for [redacted] and the bank was unable to use the account numbers that we have on file. The account number on the coupon was correct. When the manager responded to Ms. [redacted] about the account number she was not providing correct information but did not ask her to stop payment. When Ms. [redacted] responded to [redacted], her email was sent to [redacted] for a reply. Mr. [redacted] further explained that at no time did anyone ask her to stop payment on her check. It is our policy to collect stop payment and/or overdraft fees charged to the [redacted] account. This letter was automatically sent out because Ms. [redacted] stopped payment. As you can see in Mr. [redacted]’s email, Ms. [redacted]’s account was credited immediately for the [redacted] and she was advised correctly about the account number. From our documented timeline with Ms. [redacted], the matter was resolved and her account credited probably before the [redacted] was even able to process the complaint. [redacted] immediately apologized for the confusion and also credited her account as soon as we were made aware of the situation. We will await a response from the [redacted].
