In response to the customer issue outlined in your correspondence, I wish to offer you an outline of our prior communication on this issueIn addition, I wish to point out that Mr [redacted] was refunded the cost of his stay and no cancellation penalty was appliedThe reservation agent who took this reservation explained our policies and asserts that the guest may have misunderstood or misinterpreted what was said to accommodate their own interests and or purpose By the guests own admission in the correspondence below (highlighted in yellow) he acknowledges that he was told that birthday parties are not allowed in the pool areaOur web site does in fact state “The perfect space for your meeting or event.” This statement applies to “meetings or events” that are booked in our meeting rooms and function space which are rentableArrangements for this space is secured through our sales officeMr [redacted] reserved a “guest-room” not a meeting roomOur policy is that the pool is reserved for the use of our overnight guests or their invitees, but they are limited to guests per rented guest-roomGuests may however, have as many invitees as they wish to join them in their guest-room, provided of course, the noise does not interfere with the neighboring guests use and enjoyment of their guest-room The simple solution at the time of this issue would have been to purchase an additional guestroom which would have resulted in more wristbandsPlease review my prior written responses to Mr [redacted] outlined below (cut and pasted from the emails): First Response: On Sat, Nov 18, 2017, 7:AM [redacted] > wrote:Dear Mr [redacted] , I am sorry to hear that you were unhappy with our policiesUnfortunately, “Pool Parties” have negatively affected our other paying guests and their use and enjoyment of the pool areaAs such we have instituted the policies outlined belowIn your instance, your reservation was made for a guestroom with Adults and Children, and you were placed in a poolside rooms (240) as requestedWe did not have any indication on the reservation that there would be more than the registered guests in the room or pool areaOur pool is for our paying hotel guests, and a reservation does not entitle a guest to host more than the number of those registered A “guestroom reservation” does not permit guests to reserve the pool for social gatheringsAs you can imagine, with guests-rooms, one guests’ group can potentially monopolize the pool area with their guests which negatively impacts the other paying guests Although you group may not have done this, maybe you can better understand why the policy was institutedAs an accommodation, we allowed you to cancel without penalty on the same day as your reservation When you placed your reservation, you did not contact the hotel to inform the hotel of you plans to host a social gathering, you simply reserved a guestroomHad you contacted the hotel about hosting a social gathering at our facility you would have been informed of these policies and offered rentable function space to host your eventIn this case, your reservation indicates only people in the guestroom, however the number of invited guests exceeded the number of guests allowed in our pool areaWhen you placed your reservation, you agreed to accept the hotel policiesYou are permitted to have as many guests as you like in your guestroom, provided the noise does not affect our other guestsAt Ramada Janesville, we allow up to guests per guest room (swimming or not) in the pool area, and we issue wristband to identify our guestsAny guest not wearing a wristband is asked to leave the pool areaUnfortunately, we cannot exclude “non-swimmers” from the 5-person limit because non-swimmers use chairs and tables that otherwise would be available to paying guests To have additional people in the pool area, guests are required to reserve and pay for another guest room and; for each guestroom room wristbands are issuedExample: a party of people would need to purchase guestrooms to obtain wristbandsWe cannot sell additional wristband because to do that would change our pool’s legal status to a public pool, which then requires the hiring of lifeguards and other state requirementsWe also do not allow food or glass in our pool areaAll food must be kept and consumed in the guestroom.I hope this helps you to better understand the reasons behind the policy and how it helps to ensure the guests who stay with us will have a better experienceLocally I am aware that the YMCA allows for pool parties and you may wish to pursue that option in the futureRegards, [redacted] Response: Hi ***, I understand the reasoning of such policyWhat I am now concerned about is your statement that we never contacted the office, hence probably the source of the issueIt is not true that we didn't contact the office, my girlfriend contacted your office around 11.8.2017, spoke to a man and asked specifically for this reservation if you still allowed birthday parties, which she was informed no, you do notShe then followed up the question with can we have a few other children with us that won't be spending the night but visit and allow them to use the pool? The response to that was yes and only guests staying the night are required to have a room (people per room) We never asked to reserve the pool for just us, but to have 2-other children swim from until (which is what the invite states)Also, we asked to pay per child and we were immediately turned down Another statement which was made on by your staff was the reason we can't allow nonpaying guests here is because of fire code violationIf this statement is true, I would like documentation of that If that's the case, Wisconsin Dells must be violating that fire code for the past years.Unfortunately, even though we followed the steps prior to inviting people to utilize your pool, we had to turn down our guests for the partyIt's unfortunate, because business was lost over misinformation, miscommunication and "fire code"A suggestion I have is please place this information on your website about your location that does not allow guests to invite other guests to swim Also, be sure all of your staff is on the same page and provides the same information, not whatever thought comes to mind at the time.Please provide me with your district managers contact information.I look forward to hearing from you soonThank you, [redacted] Hotel Reply: Mr [redacted] – I am so sorry that this unfortunate circumstance occurredI will definitely work to ensure there is better communication with our guests, and better consistency of information provided by our employeesThank you for the background on your attempts to follow and work within our parameters which is very appreciated and generally alleviates any problemsUnfortunately, in this instance that was not the caseI have looked back to determine who provided you this misinformation and will, and follow through with that individual to ensure they are not adding confusion and ensure they are retrained on our policies Regarding the points you brought up in your previous correspondence, please allow me to clarify:Fire Code: The City of Janesville has set a capacity limit for our poolTo ensure that the capacity is not exceeded, we had to institute our current policy The capacity is set by the City of Janesville.I cannot speak for the local laws in Wisconsin Dells, however we are not classified as a water park or a public poolI can only speak to the local codes in Janesville and Rock CountyWisconsin Dells may have different rules and regulationsWe do not sell admission to our pool separate from guest-roomsThis would change the classification of our pool and add many additional regulations of our pool facility Unfortunately, when guests bring “a few” guests we do not know how many that will be in actualityEven non-swimmers add to the capacity issue and take away tables and chairs from other paying guestsOur main business purpose is a hotel, and as such our paying guests must come firstThe current policies do in fact allow for groups to gather, but they must reserve and pay for the number of rooms which are required to accommodate the partyOtherwise a guest is welcome to host visitors in their guestroomWith regard to the use of the pool, if you anticipate people, we would require that you reserve and pay for guest-roomsI am afraid I do not have a regional or district manager as we are a franchise hotelRamada will defer all issues directly to the hotel for resolutionRegards,

At Ramada Janesville, we allow up to 5 guests per guest room (swimming or not) in the pool area, and we issue wristband to identify our guests. Any guest not wearing a wristband is asked to leave the pool area. If this statement is true, I would like documentation of that.  If that's the case, Wisconsin Dells must be violating that fire code for the past 30 years.Unfortunately, even though we followed the steps prior to inviting people to utilize your pool, we had to turn down our guests for the party. It's unfortunate, because business was lost over misinformation, miscommunication and "fire code". I will definitely work to ensure there is better communication with our guests, and better consistency of information provided by our employees. Unfortunately, in this instance that was not the case. I have looked back to determine who provided you this misinformation and will, and follow through with that individual to ensure they are not adding confusion and ensure they are retrained on our policies.  Regarding the points you brought up in your previous correspondence, please allow me to clarify:Fire Code: The City of Janesville has set a capacity limit for our pool. To ensure that the capacity is not exceeded, we had to institute our current policy.  The capacity is set by the City of Janesville.I cannot speak for the local laws in Wisconsin Dells, however we are not classified as a water park or a public pool. I can only speak to the local codes in Janesville and Rock County. Wisconsin Dells may have different rules and regulations. We do not sell admission to our pool separate from guest-rooms. This would change the classification of our pool and add many additional regulations of our pool facility.  Unfortunately, when guests bring “a few” guests we do not know how many that will be in actuality. Even non-swimmers add to the capacity issue and take away tables and chairs from other paying guests. Our main business purpose is a hotel, and as such our paying guests must come first. The current policies do in fact allow for groups to gather, but they must reserve and pay for the number of rooms which are required to accommodate the party. Otherwise a guest is welcome to host visitors in their guestroom. With regard to the use of the pool, if you anticipate 10 people, we would require that you reserve and pay for 2 guest-rooms. I am afraid I do not have a regional or district manager as we are a franchise hotel. Ramada will defer all issues directly to the hotel for resolution. Regards,
