December 11 , 2015Ms. [redacted]Revdex.com, Inc.1 00 Bryant Woods SouthAmherst NY 14228Re: [redacted]Revdex.com Complaint ID: [redacted]Submitted: 11 /30/2015Dear Ms. [redacted]United Refining Company has investigated the customer's complaint, regarding the issues he experienced with a Kwik Fill gift card at our Kwik Fill located on Route 13 in Cortland, NY. On November 23, 2015 we received a telephone call from the customer claiming he had purchased three [redacted] gift cards at om Kwik Fill and when he tried to use them he was told they were never activated. The customer provided information on the purchase, the Kwik Fill gift card number and offered to email copies of two receipts he had. The customer was informed an investigation of his claim would commence and he would be contacted upon completion. Our investigation revealed the Kwik Fill gift card he was using was issued on September 3, 2014 for $20.00 and at one time would have indicated the amount on the card. He said the card would not work outside at the fuel pump, so on November 16,2015 he took it inside to try purchasing merchandise. It would not read on the register inside either, leading us to believe the magnetic strip must have been damaged during the year. At thistime the Cashier should have called the number on the back of the Kwik Fill gift card to obtain the balance of the card and had it transferred to a new card. However, the Cashier entered the number on the card manually for the $6.73 merchandise purchase, and entered a 4 digit number trying to force the authorization, our authorization numbers are 6 digits. The receipt the Cashier gave the customer appeared the transaction went through, but was lacking information that should have been there and listed a balance remaining of $76.39 (which happen to be the number the Cashier used for the authorization number). The balance remaining actually indicated the transaction balance not the gift card balance, which should have appeared lower on the receipt. A review of the stations reports indicated the transaction did not complete. We were also able to see that the Cashier was inputting the gift card number incorrectly, which was why the manual entry did not process correctly. On November 21 , 2015 the customer visited the same Kwik Fill and it just so happens the same Cashier was working. He decided he was going to purchase three $25.00 Game Stop gift cards with the Kwik Fill gift card. The card again would not read so the Cashier entered the number manually, the first two times the response code of insufficient funds was received. She then entered the number incorrectly and entered the same authorization number she entered on the prior visit to try to force the transaction. The register never prompted the activation of each of the [redacted] gift cards, which should have been an indication the transaction was not complete. The customer was delivered the results of the investigation by telephone on November 27,2015. He was told we would send him a new Kwik Fill gift card in the amount of $ 13.27, which would be the $20.00 Jess the $6.73 merchandise purchase from November 16t11  He said he did not want another gift card from us. He was then told we could mail a check for the $ 13.27 then. He stated he did not agree that he as not being refunded the $75.00 for the [redacted] gift cards but said to mail the check for the $ 13.27. He then called United Refining Company on November 30th and spoke with Director L[redacted] of the Retail Marketing Department. Ms. L[redacted]  eiterated the findings and told him the Kwik Fi ll gift card in his possession was only issued for $20.00 and we did not feel it was United Refining Company's responsibility to provide him with $75.00 that was not due him. Upon receipt ofthe check, in the amount of$ 13.27, from our Accounts Payable Department a letter of apology for the confusion was drafted and both were mailed December 7th to the customer. The Station Manager addressed this with the Cashier. and she was retrained in the proper way to process gift card transactions. Marsha A.
