September 17, Dear [redacted] Attached here to is Rio Cibolo Ranch’s(“RCR”) response to the complaint of Ms [redacted] (ID# [redacted] ) arising from a special event conducted at our venue on July 11, The RCR response contains the sequence of communications via emails by and between RCR Event Coordinator, [redacted] , and RCR client and group representative, Carl Duncan As reflected in the attached correspondence the mathematical error in the proposal calculation occurred due to an incorrect formula in the client proposal, an EXCELL Document As soon as MrDuncan gave his final guest count the error was caught when MsKoenning was preparing the revised proposal and final invoice As a result of the formula error in the proposal summary, RCR waived a sfee and reduced by 50% the gratuity charge resulting in a substantial discount to our client (although it wasn’t required or requested, in the spirit of fairness and customer service to our client we provided this discount nonetheless) It is important to note, none of the event planning, coordination and financial dealings transpired with Ms [redacted] It is further important to note, that none of the RCR pricing was changed or modified and by simply calculating thru simple math the amount due for services was clearly inaccurate( person event with usage and catering fees , entertainment etccould not be conducted at RCR, or any venue for that matter, for $ a person) The client knew there was an error and the attached correspondence confirms this In conclusion, we hereby offer nothing more in remuneration or refunds than the $credit already given for this honest mistake As to the other complaints, we are in disagreement with these for the reasons stated herein the attached responseShould you need any additional, information please adviseSincerely, [redacted] Rio Cibolo Ranch ...a little bit of Texas & a whole lot of fun [redacted]
