Good afternoon,We received an email correspondence from Mr& Mrs*** on 4/18/which we have attached here I contacted Mrs*** by phone on 4/18/and understood that her HOA payment had yet to be posted to her account We recently took over the management of the HOA
in March and several homeowners did not properly mail their payment to the new address I asked her if this was a possibility and she felt sure that she mailed it to the address listed on our Welcome Package which we sent in a large white envelope to all homeowners in February.I let her know that I would be glad to work with her and we would not be charging any late fees while this problem is being resolved Unfortunately, we have not received her payment to our business Post Office Box as of 4/21/ We are a small HOA management company and have been in business since 2005, successfully managing both small and large HOA's on the west side of Phoenix, including *** *** *** *, *** ***, *** ***, *** *** and *** *** *** * *** (for which this homeowner resides) We make trips to the post office each business day and most Saturdays to pimail and payments to our post office box Generally, we enter all payments into our Property Management software within 24-hours, and mostly the same business day as we receive the check.Unfortunately, as I advised her, I am unable to post a payment to her HOA account for which we have not received We do not use a 3rd party lock box company to process our payments and prefer the "small company" feel for posting our homeowner payments ourselves, as it helps us to better know our homeowners In over years, we have had fewer than a dozen incidents in which homeowner payments have not been received to our post office box It is honestly out of our control, as I told Mrs***, if her payment was lost somewhere between where she mailed the payment and receipt to our post office box.We provide many alternative, electronic ways for homeowners to make their payments if they do not completely rely on the post office to deliver their payments on time to us Homeowners may login to their HOA portal and make an electronic payment, at no charge from their checking or savings account, and it will post immediately to their account They may also pay online through their financial institutions's online banking tool We are very prompt and consistent in processing all of our payments received to our post office box and take the processing of our homeowner's payments very seriously We would ask your careful review of this response and hope that you understand we are doing all possible to help facilitate this homeowner to make her HOA payment.We are very highly regarded by our Board-members of each of our communities and our growth has been because of homeowner and Board-member recommendations of our services.If you know of any way that we may improve upon our services or processes, please feel free to call me on my cell phone at ###-###-#### or email me at***@***.com.Respectfully,*** ***President, Royer Association Management
