June 1.Once the material required is uploaded to Financial Aid, Steps 4 and 5 instructs the student andauthorized individual(s) to monitor the status of their aid package. This site lets students and authorizedindividuals know if their awards have been granted along with the amount, whether documents havebeen received, and what, if any, additional action is required by them.The students are billed on July 15th for the first term {November 15th for second term) of the academicyear. All completed aid is posted prior to sending out the statements and any aid in a pending status isnoted as a memo on the statement and is used to reduce the amount due from the student orauthorized payer. Pending status is designated by the Business Office as aid granted based on the statusof application for aid or types of aid, timeliness of application within the aid cycle, status of follow-upaction on behalf of the applicant or parent/guardian, and other similar criteria. This process is repeatedat August 15th.On July 18th, and August 21, the Financial Aid Office sent a letter to any student who had an outstandingbalance informing the student that financial aid was available. In this correspondence, the studentswere told if the appropriate financial aid documents were not completed by September 1, the BusinessOffice may place a hold and/or late fees may be accessed on balances left unpaid.In this particular case, the student had not submitted an application for aid until July 13th and no aid wasapplied on the July 15th billing, thus the full balance was showing as due. Tuition and fees less appliedand pending aid is due August 10th for all students. On July 17th, the student was provided an award thatcovered the full cost of attendance, including loans and grants. The loans offered on this award couldnot be processed for the next bill because loan documents had still not been completed. When thenext billed was issued on August 15th, no financial aid was reported and the balance was showing as due.At this point, unpaid tuition and fees were past due but the University refrained from applying late feesuntil after the first day of classes for the term. By the September 15th statement date, the accountshowed the receipt of the federal loan to the student, however, there was no record within the billingsystem that the parent loan had been applied for resulting in the application of late fees to the account.Upon reviewing the financial aid and billing process along with the communications between thedepartments and those to the students and parents, we did conclude that there were areas that couldbe improved and refined to ensure that all parties are fully aware of obligations and needed action to betaken. As a result and as a goodwill gesture to the student involved, we have removed the late fee thathas been posted to this account.Sincerely,[redacted]Controller and Associate Treasurer
